About the Role
We are seeking a highly skilled and experienced Conference Services Manager to join our team at Accor Hotels. As a key member of our events team, you will be responsible for delivering exceptional service to our clients and ensuring that every event is a success.
Key Responsibilities
- Provide professional and engaging service to clients, ensuring their needs are met and exceeded.
- Organize and maintain accurate convention booking files, including meeting specifications, audio visual requirements, and technical needs.
- Obtain and confirm all event-related information with clients, and distribute group resumes, conference agendas, and event orders to all operating partners in a timely manner.
- Drive function space optimization and maximization to ensure the best utilization of space for guest experience and financial performance.
- Yield sleeping room block and function space to optimize financial return and performance.
- Forecast banquet food and beverage by group with a target of 3% accuracy.
- Initiate and follow up on billing procedures, ensuring deposits and/or credit applications are received within acceptable timeframes.
- Conduct pre-conference/event meetings with clients and pertinent departments to confirm all relevant details are communicated.
- Ensure guest/group experience while onsite, through personal interaction and attendance at functions throughout the stay.
- Conduct site inspections as required and handle inquiries.
- Attend necessary meetings within the hotel that affect or are affected by the Catering, Conference Services, and/or Events department.
- Establish and maintain rapport with clients, prior to, during, and post conference, exceeding their expectations and encouraging repeat business.
- Play an active role in local community through associations, memberships, and involvement, serving as an ambassador of the hotel within the local community.
Requirements
- 3-5 years of previous Conference Services and Leadership experience within the luxury resort market and similar role, required.
- Computer literate in Microsoft Windows applications and relevant computer applications required (Micros Opera S&C and Meeting Matrix preferred).
- University/College degree in a related discipline preferred.
- Excellent communication skills, both written and verbal, required.
- Strong leadership, excellent interpersonal skills, and problem-solving abilities.
- Highly responsible, reliable, and ethical, with a reputation for honesty and integrity.
- Results-oriented and highly motivated self-starter.
- Ability to focus attention on guest needs, remaining calm and courteous at all times.
- Possess and/or obtain CMP/CPCE certification within three years.
- Ability to work days, nights, and weekends, when necessary.
- Adhere to Fairmont Scottsdale Princess Grooming Guidelines.
