Administrative Coordinator for Universal's European Operations

We are seeking an Administrative Coordinator to join our team in France, supporting the Regional Director and category teams in managing contractual and administrative needs. This role involves proactive support, data entry, and administration requirements for establishing new licensee contracts.
Key Responsibilities- Data Entry: Enter Licensee deal memos across all categories into CRM/RSG system, tracking critical path from business-plan submission to contract execution.
- Contract Administration: Manage administration requirements for establishing new licensee contracts, ensure records are up-to-date for existing partners, and communicate contractual obligations as required.
- New Licensor Onboarding: Lead new licensees through a seamless onboarding process, assist with GBS and factory audit support, quarterly royalty report submissions, tracking outstanding invoices, and system support.
- Asset Management: Manage asset management processes and NDA requests.
- Vendor Management: Create new vendor accounts, raise purchase orders using SAP, code invoices for payment, and follow up to ensure timely payment and quarterly tracking of direct costs.
- Forecasting Support: Assist in supporting the quarterly forecast process to set deadlines.
- Team Updates: Manage weekly team updates for senior management and ELT dashboard.
- Databases and Spreadsheets: Maintain databases, spreadsheets, and tracking documents, distribute licensee lists, brand presentations, and other sales materials.
- Diary Management: Proactively manage the Regional Director's diary, coordinate domestic and international travel plans.
- Administrative Support: Provide administrative support with monthly travel and expense reports for the commercial team.

We offer a competitive salary of approximately €55,000 per annum, commensurate with experience. Additionally, you will have the opportunity to work with a dynamic team, develop your skills and expertise, and contribute to the growth and success of NBCUniversal.
