Position - Tender Specialist


Working within the Sales Operations International team, the Tender Specialist will manage all tender and contract administration activities related to our consumable product portfolio in a specific location. This includes providing support to our Commercial Team and other colleagues within the bid team to deliver high quality, successful, submissions and bids.


The role will provide coordination and support of our client's contract and tendering process. This includes thorough planning, facilitation and submission of necessary materials, samples, and documents to optimize our commercial success on all public hospitals, private hospital groups and other RFQ’s or tenders as required. It is an important conduit between all functions and a key member of the commercial team to drive ongoing growth. This role should communicate and engage with customers and provide feedback to the business on contracts and tenders.


Responsibilities:


  • Identify tender opportunities daily by searching relevant procurement portals and forwarding them onto the relevant commercial team members.
  • manage all Tender steps: Opportunity identification, assessment, development by gathering all required information & documentation, deployment, post-result analysis & market intelligence collection.
  • Ensuring the tender documents adhere to country legislation and local authority specifications for bid production.
  • Manage the support bid submission through the Salesforce Process and ensure tender documentation is securely filed within the team’s SharePoint.
  • Continuously monitor the tender submission process such as the format, timing, completeness, success rates, consistency, and compliance with overall requirements
  • Proactively use the expertise within the business, in the co-ordination and management of all capital tenders and quotes.
  • Ensure the KPIs for all contracts are managed and reviewed, working in conjunction with the customer and the business, along with management of distributor, healthcare partners re-seller’s internal contracts known as International Distributor Agreements, or Letter of Authorisation documentation.
  • Develop and maintain a database of tender feedback to aid pricing, strategy, quality and service improvement.
  • Build knowledge base of standard replies to assist in timely completion.
  • Monitoring, reporting and communicating contracts and tender outcomes to better inform the business and improve efficiency and success rates.
  • Engagement for customer satisfaction /accuracy
  • Participation in pricing & tender related projects (tools improvement, automation of process)


Additional Duties:


  • Maintain contracts in SAP EU and communicate latest pricing contract to external customer
  • Ensure prices get approved and implemented in due-time in SAP systems
  • Communicate new price quotation to external customers
  • Coordinate contract changes and external & internal communication related to product codes becoming obsolete
  • Pricing System maintenance and efficiency
  • Engagement for customer satisfaction /accuracy
  • Provide assistance to other members of the Commercial, Customer Service & Marketing teams as required.
  • Investigate customers’ complaints related to invoices
  • Other Ad-hoc tasks as required by the business.


Requirements:


  • Understanding of French tender laws and regulations
  • French procurement laws
  • French GPO landscape
  • Working on French Tenders, working with a commercial team & distributors, ideally in Medical Device
  • Bilingual English and French
  • Knowledge and experience using SAP
  • Salesforce experience preferred
  • Intermediate Microsoft Skills


Level of Experience:


  • Minimum of 5 years in a similar role including the end-to-end management of tender process; preparation and coordination of tender submissions or bid proposal.
  • Strong experience in French hospital tender processes – (UNIHA/UGAP/RESAH)
  • Medical Device, pharmaceutical or healthcare industry experience preferred.
  • Experience in balancing challenging priorities, and a range of differing demands.
  • Experience of handling confidential information
  • Ability to prioritize own workload with minimal supervision.
  • Ability to work well under pressure and to meet tight deadlines.
