JLE recruits a dedicated and dynamic DIRECTOR ASSISTANT with previous experience in events management to support the Director of an international marketing agency in putting together VIP Hospitality Programmes for the Paris Olympics 2024. JLE France is a staffing agency specialising in international major sports events providing premium operation staff around the world since 2015.


The Director Assistant will provide proactive support to the Director, particularly focusing on managing schedules, communications, and event management. The ideal candidate will have exceptional organisational skills, the ability to multitask, and a keen eye for detail. Experience in planning and executing events is essential.


Responsibilities:

Administrative Support:

  • Coordinate and manage various administrative tasks and projects.
  • Manage and maintain the Director’s calendar, scheduling appointments and meetings, making reservations, and drafting detailed programmes.
  • Assist in daily office management.
  • Serve as a liaison between the Director and internal/external stakeholders.
  • Screen and prioritise incoming communications (emails, phone calls, etc.).
  • Prepare, edit and file correspondence, reports, presentations, and other documents.
  • Organise and prepare meetings, draft agendas and minutes, follow-up on meeting actions.
  • Handle confidential information with discretion.


Events Project Management:

  • Assist with events and special projects by providing logistical and organisational support. This may include site inspection, venue selection, catering, transportation and accommodation arrangements, guest greeting, and management.
  • Oversee event set-up, execution, and tear-down, ensuring everything runs smoothly.
  • Track project progress and ensure timely completion of tasks.
  • Prepare reports and updates on event project status.
  • Provide assistance with managing event budgets, track expenses, and ensure cost-effectiveness.
  • Collaborate with team members to ensure alignment and successful completion of projects.

Other duties may be assigned at the discretion of management and within your scope of practice.


Profile:

  • 2+ years of experience as an Executive/Administrative Assistant/Marketing Assistant, or in a similar role within a marketing agency.
  • Knowledge of the event industry and proven experience in planning and managing events.
  • Excellent organisational and time-management skills.
  • Ability to handle pressure.
  • Strong verbal and written communication skills.
  • FLUENT in French and English (written and spoken)
  • Ability to work independently and as part of a team.
  • High level of discretion and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).



Dates:

  • From ASAP to 15th August

Location:

  • From June – to approx. 11th July will be based at the client’s office in central Paris (5 days/week)
  • From 12th July will be on-site at location TBC (central Paris – 6 days/week)
