**Position Summary**

The Business Administration Intern (BAI) works in a supporting capacity to the ISS team which in turn provides general support function for International Moving operations. The BAI will be responsible for shipment tracking, documentation handling (preparing, collection, distributing and saving to Sistrs), data integrity, and cost containment for HHG’s international shipments. Contact with agents, vendors, port brokers and IMC communication is an integral part of the role.

**Tasks & Responsibilities**

**Sea Shipments**
- Create & Register shipment in Promove
- Enter Names, Dates, Vessel Details, Passport Details as Instructed by IMC
- Upload Initial Authorizations to Sistrs
- Upload All Agent Correspondence to Sistrs
- Upload All Vendor Correspondence to Sistrs
- Confirms Actual Vessel Departure
- Confirms Estimated Date of Vessel Arrival
- Confirms Actual Vessel Arrival
- Confirms Last Free Date at Port
- Confirm container pick up from point of entry by trucker
- Confirm shipment arrived at DA’s warehouse
- Confirm LFD of container (return empty to port)
- Confirm empty container ready for pick up from DA
- Confirm empty returned on time
- Ensure Completion of Service Documents in Sistrs including 7 point container document, packing list, photos of loading/unloading and all other documents/photo’s required by the company

**Air Shipments**
- Create & Register shipment in Promove
- Enter Names, Dates, Vessel Details, Passport Details as Instructed by IMC
- Upload Initial Authorizations to Sistrs
- Upload All Agent Correspondence to Sistrs
- Upload All Vendor Correspondence to Sistrs
- Confirm estimated departure and arrival dates
- Confirm flight departed
- Confirm Flight Arrival
- Confirm Last Free Day at Destination Port
- Confirm shipment picked up from destination airport by trucker
- Confirm shipment arrived at DA’s warehouse
- Ensure Completion of Service Documents in Sistrs including 7 point container document, packing list, photos of loading/unloading and all other documents/photo’s required by the company

**Road Shipments**
- Create & Register shipment in Promove
- Enter Names, Dates, Vessel Details, Passport Details as Instructed by IMC
- Upload Initial Authorizations to Sistrs
- Upload All Agent Correspondence to Sistrs
- Upload All Vendor Correspondence to Sistrs
- Ensure Completion of Service Documents in Sistrs including packing list, photos of loading/unloading and all other documents/photo’s required by the company

**General Tasks**

Provide out of office coverage for ISS team members per the direction provided by either the European Training Manager or the Senior ISS member.

Compliance & general reporting: during the course of the year, you may be requested to assist Moving Operations in completing necessary compliance or general reporting and maintaining regular reports as directed

All other tasks as required by the company

- Sistrs occupancy
- Sistrs compliance audit
- Account specification compliance reports
- Container number reports
- Daily registration report
- Cancelled shipment report
