**Job Overview**

Provide administration support for all Work Area Packages of the contract and additional works. Maintain high standards of personal presentation.

**Main Duties**
- Responsible for Petty Cash and Bank Account.
- Petty cash expenses will be authorised prior to payment.
- Petty cash account balanced daily.
- Bank Statement and Cashbook reconciled daily.
- Local Invoices from NAAFI, AIG and Sure, check calculation and arrange authorisation prior to payment.
- Private telephone calls made from company phones, invoice and recover costs.
- Medical costs rolling record, kept for individual staff.
- Send Cashbook and supporting records to UK monthly or as requested by Finance.
- Calculate local fund requirement and advise UK
- Payroll prepared monthly, spot check overtime collated by Admin and ensure approvals are in place.
- Include on payroll additional approved allowances and travel expenses.
- Assist with checking wages before bank accounts are credited.
- New starter information, submit to HR & Payroll, send Right To Work documents to HR via PeopleHub to ensure payroll number is received.
- Leaver information, calculate and submit to Payroll and line manager who will upload on PeopleHub.
- Liaise with the AIG tax office; provide leaver, new starter start and end dates, staff accommodation locations.
- Monitor expiry dates of staff eVisa's and initiate renewals.
- Staff list, update monthly.
- Monthly duty call-out roster, list trades persons and engineers, produce roster and issue.
- Weekly Ration Return produce and issue to Soft Services Manager.
- Master Manning produced and issued to PA to CAIB.
- Quarterly population statistics return, populate and issue to AIG.
- Employee Personnel records, move from paper to electronic, assist with maintaining files on N: drive.
- Advise on pay, expenses and personnel matters.
- Provide cover during the Business Support Managers absence.
- Any other duties associated with working as Senior Administrator.
- Carry out other tasks as required and/or directed by Line Manager.

**What we are looking for**

**Qualifications**:

- GCSE in English and Maths (Grade C and above) or equivalent

Skills, Knowledge, experience
- IT Literate
- Accurate keyboard skills.
- Has finely-tuned set of customer service skills.
- A friendly, approachable manner.
- Time management skills.
- Driving licence.
- Experienced in working in a military environment (desirable)

**Additional details**

Mitie will pay a competitive salary, monthly site allowance and bonus. Hours of work are 47.5 per week. The contract duration is 27 months with 74 days leave excluding weekends. There will be an entitlement to the Ascension Island Bank Holidays. Flights will be arranged to and from Ascension Island for agreed holiday periods. The position is unaccompanied, single accommodation on Travellers Hill, 3 meals at the Combined Mess, all corporate work wear and PPE included. Must be capable of obtaining MoD basic level security clearance, evisa from the Ascension Government, be declared medically and dentally fit to work on Ascension Island.
