**Présentation du poste**:
Assurer un soutien administratif de haute qualité pour les Market Managers, y compris la liste suivante non-exhaustive : gestion de l'agenda, coordination et préparation des réunions, planification des réunions à l’étranger, réservations liées aux voyages professionnels, extraction et préparation de rapports de performance, gestion des notes de frais et toute autre tâche de bureau ad hoc.

**Principales responsabilités**

Soutien des Market Managers (managers régionaux):

- Fournir un support permanent en assurant la transmission de données et de rapports aux Market Managers. Il s'agira notamment de générer et d'exécuter des rapports de performance, des analyses de fournisseurs, des chiffres de vente et d'autres demandes ad hoc.
- Favoriser et faciliter, si nécessaire, la circulation des informations et des rapports.
- Maintenir un niveau de confidentialité lors du traitement d'informations sensibles et de données personnelles.
- Coordonner, préparer et anticiper tous les besoins/informations nécessaires pour les réunions internes et externes (y compris les réunions d'affaires, les réunions avec les fournisseurs, les évaluations, les réunions stratégiques et les présentations).
- Assister à des événements, le cas échéant, pour prendre des notes, résumer et suivre les résultats de la réunion.
- Organiser et préparer les notes de frais, rassembler et gérer les reçus en temps utile.
- Favoriser l’intégration d’un nouveau collaborateur en gérant la partie équipement, programme d'intégration ou toute autre demande.
- Etre un point de contact en cas d'absence du Market Manager, en interne et en externe.
- Soutenir les Market Manager dans l'administration générale (courrier, photocopies, résolution des problèmes IT, etc.)
- Mener à bien des projets spécifiques et effectuer des analyses selon les besoins, à la demande du Market Manager.

**Réservation de voyages**:

- Organiser et coordonner les voyages, établir les itinéraires et réserver les vols et l'hébergement.
- Si besoin gérer l’ensemble de procédure de demande de visa, le suivi et la réception dans les délais impartis.
- Organiser les taxis et les trains
- Situations d'urgence - apporter à l’ensemble du bureau toute l'aide nécessaire en cas d'urgence, de crise ou de circonstances inattendues.
- Peut être amené à effectuer des voyages d'affaires en fonction des besoins de l'entreprise.

**Gestion de l'agenda**:

- S'assurer que les Market Managers sont tenus informés de tout changement crucial affectant leur itinéraire quotidien/hebdomadaire.
- Tenir à jour et communiquer le calendrier du bureau français, y compris les salons professionnels, les réunions stratégiques, les réunions de travail, les autres réunions d'affaires, les évaluations, les vacances de l'équipe, etc.
- Assurer la tenue de l’itinéraire et les plans de voyage des acheteurs.
- Coordonner la participation aux salons professionnels et tout ce qui s'y rapporte avec les assistants des autres bureaux pour gérer.

**Gestion du bureau**:

- Fournir une assistance aux visiteurs et être un point de contact pour les personnes, les coursiers, les vendeurs et les fournisseurs qui se présentent au bureau.
- Prendre en charge les visiteurs, les enregistrer en suivant les procédures du bureau.
- Gérer les réassorts et les coûts internes (affranchissement, boissons, papeterie, matériel de bureau, machine à café, etc).
- Etre responsable de la réservation des salles de réunion et de la mise en place
- Réceptionner et expédier le courrier et colis
- Gérer les commandes de repas lors de réunions en suivant les procédures administratives d'approbation des coûts.
- Organiser des événements et des activités/réunions d'équipe (team building)
- Gestion de la trésorerie du bureau
- Superviser l'inspection et audits de sûreté et de sécurité
- Résoudre les problèmes IT génériques en collaboration avec le service informatique
- Établir de bonnes relations de travail avec les clients/fournisseurs internes et externes
- Identifier les possibilités d'améliorer ou de développer les processus et les procédures afin d'accroître l'efficacité et le service à la clientèle.
