You will be part of the MF19 project team (metro construction project for RATP to replace MF67, MF77, MF88 rolling stock). The project is in development phase, the manufacturing of the vehicles will start at the beginning of 2023 and will end in 2026 for the firm part (44 trains equipping the lines L10, 3 bis and 7bis).

The next phase will be the replacement of the metros on line 13, which is eagerly awaited by users in the Paris region.

You will report to the project manager and his team with whom you will interact on a daily basis.

MISSIONS ENTRUSTED:
1. ANIMATION OF THE ANSWERS TO THE CUSTOMER:

- Lead a weekly meeting around the indicators of customer open points (FRD) and incoming mail
- Ensure regular contact with the various people in action to promote the timely closure of FRD points
- Facilitate a monthly meeting for responses to FRD points
- Prepare for monthly contractual meeting with client on open items

2. MAIL MANAGEMENT / CUSTOMER RELATIONS
- IN/OUT MAIL MANAGEMENT
- Receive incoming mail and send outgoing mail to RATP
- Feed the Excel IN/OUT chronos mail database, distribute mail
- MANAGEMENT OF CUSTOMER OPEN POINTS (FRD)
- Fill the FRD (open points) Excel database at each meeting with RATP with customer feedback on proposed amendments or deviations
- Ensure the traceability of exchanges between ALSTOM and RATP of these FRDs
- SCHEDULING OF MEETINGS AND SENDING OF MATERIALS
- Manage the calendar of meetings with RATP, distribute meeting notices internally
- Ensure that presentations are sent out before each meeting with RATP
- Liaise with Crespin unit to ensure consistency of shared databases
- Organize/Prepare customer visits to Valenciennes site

3. TEAM LEADERSHIP:

- Welcome newcomers and train them on the daily processes/tools of the project (FRD, templates, letters...)
- Organize key project meetings: cascading, seminars
- Animate to maintain/enhance the social link of the project team (group activities, newsletter,...)
- Produce visual aids to brighten up the stage (photos, KPI, etc.)
- Facilitate team meetings on internal blocking points (via Yellow)

4. PLATFORM TEAMS MANAGEMENT:

- Authorize and train newcomers on TEAMS project platforms

5. MF19 PROJECT PROCUREMENT:

- Order office supplies, PPE for the project team
- Carry out the specific orders of the project and the corresponding goods receipts

6. SKILLS:
Good command of computer tools (Microsoft office pack: EXCEL, PPT, OUTLOOK, TEAMS)

Use of animation tools (YELLOW, video office tools for webinar type Teams)

Use of tools Purchase GSI -ARIBA can be a plus, otherwise a training will be necessary

English to be able to communicate with our Polish partners, for example.

7. PROFILE
- Rigorous and organized person, liking teamwork
- Work 5 days/week
- Level of education BAC+3/4 in the fields of management assistant, quality or documentation management
