Operations Coordinator

Overview The Operations Coordinator (Ops Runner) at Alan works on a subset of services we deliver in insurance and health services. You will join a team of 50+ Ops across our countries and interact with Engineering, Product, Care, and other teams. The role is based in France, Belgium or Spain and involves joining a pool of 3-7 runners who are collectively responsible for running their scope. We seek profiles able to embrace any challenge and jump into new scopes as needed. Responsibilities Operate our processes and services (e.g., invoicing, claims treatment, provider network growth and management, and supporting internal teams with live support and documentation). Contribute to the definition and ownership of the best monitoring scheme to track volumes, efficiency, SLAs, and identify risks and areas for improvement, internally or with service providers. Supervise partnerships (e.g., teleconsultation, claim operators), participate in negotiation rounds, and maintain daily communication to ensure business continuity. Perform controls on daily operations to ensure correct decisions and identify training needs. Escalate feedback, help prioritize initiatives, and support improvements to make processes and services more delightful and efficient. Implement continuous improvements to processes (approximately 20–30% of the time), e.g., automation with product teams, external communications, process auditing, or automation tooling. Your Missions (In Detail) Operating our processes (e.g., invoicing, claims treatment, provider network management, and internal support). Defining and owning monitoring to track volumes, efficiency, and SLAs; identifying risks and opportunities. Supervising partnerships (e.g., teleconsultation, claim operators); participating in negotiations and ensuring business continuity. Performing controls on daily operations and identifying training needs. Escalating feedback and supporting initiatives to improve processes and services. Experience We aim to hire within the A2-B level range. The scope is varied, and suitable candidates come from different backgrounds, for example: Operated processes and services for companies, especially during scale-up or in industrial/logistics contexts. Worked in Support functions (Customer Support, People Operations, etc.). Customer-facing Commercial experience (e.g., account manager or Customer Success Communications). Handled event coordination. Skills Passionate about delivering and optimizing top-notch operations; comfortable improving technical processes for operators and members. Problem-solver with a dig-deep mindset focused on member and customer satisfaction. Highly organized with strong attention to detail and follow-up skills. Strong written and verbal communication in English and French (C1+); high empathy. Independent learner in a fast-paced environment; adaptable to variable situations. Experience in the insurance or healthcare industry is a plus; analytics skills to work with data are advantageous.
