Global RE&FM PMO, Data & Analytics and Admin Coordinator M/F/NOverviewThe Global PMO, Data & Analytics and Admin Coordinator supports the global team across Real Estate, Transformation projects and Workplace operations with the execution and tracking of projects, consolidation, reporting and processing of data, as well as administrative tasks (e.g., Purchase Order creation, tracking and coordination of team activities). The role supports the development of the playbook of global standards and processes to drive consistency in service delivery across the portfolio and keeps the CREW intranet up to date with governance information, ongoing and finalized projects, etc. The role also implements a global reporting framework for the department’s activities and the portfolio with regular Management Reports to key stakeholders and creates portfolio insights to drive proactive decision making.Key AccountabilitiesThe Global PMO, Data & Analytics and Admin Manager supports transformation project tracking, team activities tracking, data & analytics reporting framework and administration (e.g., purchase orders).Updates the global projects plan and consolidates the annual Capital Investment Plan, ensuring projects align to the objectives and strategic priorities of Real Estate and Workplace and the wider business.Supports alignment of projects across the portfolio to Ipsen strategic priorities and ensures all projects deliver value on time and to budget.Tracks the prioritization of projects over a rolling period.Helps develop the global projects playbook outlining global standards, processes, control frameworks, and the projects preferred supplier list to drive consistency in delivery and data management.Engages with stakeholders across functions to discuss project requirements and plans.Acts as the main point of contact for major project requests, gathering requirements from business stakeholders in collaboration with Real Estate and Workplace teams.Develops the project reporting tool to monitor projects and track progress in line with the Global Projects Director.Identifies external trends and industry best practices to improve delivery.Ensures sustainability is incorporated into the design and construction of real estate projects to support Ipsen’s ESG Framework.Global Stakeholder EngagementDevelops and maintains relationships with senior business stakeholders to understand current and future needs.Engages with stakeholders to discuss projects, deliver value, and provide tailored recommendations.Collaborates with Global Real Estate and Workplace teams to deliver standards and frameworks aligned with requirements.Provides project management and data&analytics expertise and external market insights to inform decision-making and deliver value across the business.Global PMO, Data & Analytics ManagementDelivers all projects on time, within budget and to agreed requirements.Tracks project status, dependencies, risks and opportunities for synergies across regions and projects.Reviews project requirements to identify and mitigate risks impacting in-flight/planned projects.Supports alignment of global standards in project contracts with Workplace Operations and Procurement teams.Reviews business cases to provide input before sharing with business stakeholders.Supports development of annual Real Estate and Facilities budgets by forecasting global capital expenditure and planned operational expenditure.Ensures global projects data is available for cleansing, storage, analysis and a central view across the portfolio.Maintains and updates the global projects playbook to drive consistency across major projects.Embeds Ipsen values in daily work.Global Projects Supplier ManagementTracks supplier performance and delivery of project requirements for Ipsen.Collaborates with Workplace Operations and Procurement to ensure major project contracts reflect global standards and best practices.Delivers project services (e.g., office fit-out, refurbishment or move) through approved suppliers.Gathers feedback on supplier performance and delivery.Global Projects, Data & Analytics Policies, Processes and StandardsSupports the development and evolution of the global projects playbook with standards, processes, control frameworks, and supplier lists to drive consistency.Ensures global standards and policies are embedded across regions and reflected in tailored recommendations/plans.Engages with Real Estate, Workplace Operations and Projects Directors to gather reports and information to create a central data view across the portfolio.Leads on data governance and standards, ensuring data-related policies are followed.Collaborates with the team to maintain data policies, processes and standards.Global Projects and Data Risk ManagementEnsures projects are delivered safely and in compliance with health, safety and environmental standards, internal policies and legislation.Leads on risk resolution for construction, fit-out and project management, escalating as required.Manages data security and GDPR compliance for central and third-party systems.Acts as the main escalation point for critical supplier performance issues/risks related to projects and data analytics.Global Projects Sustainability ManagementEnsures Ipsen’s sustainability approach is integrated into all capital projects and portfolio management, including certification guidance (e.g., BREEAM, LEED).Supports project management delivery strategies to reduce CO2 emissions.Operational ExcellenceProvides administration support across CREW (PO creation, supplier registration, capturing requirements, reporting).Promotes compliance culture and ethics across regions; adheres to Ipsen policies on ethics practices; project/programme management in real estate and workplace projects; pharma sector experience (not mandatory); excellent communications and presentation skills; ability to operate independently.Preferred: Pharma or other sector experience (desirable).Education / CertificationsEssential: Graduate or equivalent professional qualification with proven expertise.Preferred:
