About the Contracts Admin Team

The Contracts Admin Team is a key part of our global operations, serving as the primary point of contact for contract processing and initial invoicing with all VALD clients worldwide.

We work closely with our sales teams, regional directors, finance team, warehouse staff, and Client Success to ensure a seamless sales process that aligns with our goal of supporting our clients in adopting our technologies into their core business functions.

Key Responsibilities
  • Process new sales, including data entry into NetSuite and initial client invoicing.
  • Prepare VALD's standard client contracts while interpreting and explaining contract requirements and terms to clients.
  • Assist the Chief Client Officer, regional managers, and other members of the commercial team with financial reporting and contract renewal management.
  • Collaborate with Client Success team members during the client onboarding process and manage paperwork associated with contracts to maintain contract integrity.
  • Liaise with Sales and Finance team members to manage client orders and invoicing, including data entry into NetSuite.
  • Perform general administrative tasks, including record keeping, data entry, spreadsheet development and management, and responding to emails and inquiries.
Requirements
  • Bilingual proficiency in English and French, spoken and written.
  • Law, Business Management, or accounting graduate.
  • Excellent communication and interpersonal skills.
  • Prior experience in dealing with high volumes of legal and paralegal work.
  • Excellent attention to detail.
  • Demonstrated ability to form and maintain client partner relationships with internal and external stakeholders to support key outcomes.
  • Prior experience using Microsoft Office 365 suite of products, HubSpot, and Oracle NetSuite (preferable but not essential).
  • Ability to work proactively and manage competing tasks, including record keeping, data entry, invoicing, and responding to emails and inquiries.
  • Will to work across global time zones that may impact standard working hours.
