IT Infrastructure Manager

Job Title: IT Coordinator

Location: EIT Manufacturing Headquarter in Paris Saclay, France, or in other EIT Manufacturing locations.

Missions and Key Accountabilities:

• IT Infrastructure Management: Oversee the maintenance and functionality of IT systems, including networks, servers, and software applications, ensuring high levels of system availability through internal and outsourced service providers.
• Infogérance Coordination: Act as the main point of contact for managing outsourced IT services. Ensure that external service providers adhere to agreed-upon service level agreements (SLAs) and respond to system issues in a timely manner.
• Platform and Software Coordination: Manage the daily operations of platforms and other internal systems, working with both in-house teams and external vendors to ensure updates, security, and user support are carried out effectively.
• Project Management: Assist in planning, implementing, and monitoring IT projects, ensuring they meet business requirements and are delivered on time and within budget.
• Technical and Functional Support: Provide support for internal users, troubleshoot and resolve IT issues, and coordinate with external vendors for more complex problems.
• Invoice Monitoring and Finance Coordination: Work closely with external vendors and the internal finance department to manage IT-related invoices. Ensure timely submission, accuracy of invoicing, and follow-up on any discrepancies.
• Stakeholder Communication: Act as the primary interface between EIT Manufacturing and infogérance service providers, ensuring that internal stakeholders are kept informed of system statuses, changes, or potential downtimes.
• Documentation and Reporting: Maintain accurate records of system configurations, changes, and user requests. Ensure that IT documentation is up-to-date, including business requirements and user guides.
• Security and Compliance: Ensure that IT systems and services managed through infogérance partners comply with security policies, including GDPR and cybersecurity protocols. Monitor vendor adherence to these regulations and respond to any potential breaches.
• Continuous Improvement: Work closely with service providers & business users to identify areas for improvement in the IT infrastructure and infogérance services. Implement enhancements as needed to improve system reliability and performance.
• Team Collaboration, Business and Service Oriented: Work closely with Business users to understand their needs, vulgarize, evangelize and translate them into IT Business Requirements. Participate in request for proposals, evaluation and selection related to the topic of IT project assigned.

Qualifications:

• At least Bachelor's degree in IT, Computer Science, or a related field.
• 3-5 years of experience in IT coordination or system administration, with specific experience managing infogérance services and IT-related vendor invoicing.
• Strong understanding of IT infrastructure, including networks, servers, and software platforms.
• Experience with project management methodologies (e.g., Agile, Scrum), digital platform, cloud platform,
• Knowledge of IT compliance, including GDPR and cybersecurity best practices.
• Proven experience in managing and troubleshooting IT issues, including those handled by third-party vendors.
• Experience in monitoring IT-related invoices, working with finance departments to ensure proper billing and adherence to budgets.
• Strong negotiation and vendor management skills to manage infogérance relationships and ensure accurate invoicing.
• Strong communication skills to collaborate with various departments and explain technical concepts.
• Financial Acumen: Strong understanding of financial aspects related to IT management, including budgeting, cost optimization, invoice tracking, and financial forecasting in collaboration with external vendors and the internal finance department.
• Human Resources Knowledge: Familiarity with HR systems, processes, and tools, ensuring alignment of IT services with the human resources needs of the organization.
• Infogérance Expertise: Proficient in managing outsourced IT services (infogérance), ensuring vendor performance, compliance with SLAs, and efficient service delivery.
• Automation and Digital Platforms: Experience with automation tools like Power Automate, deployment services, and managing digital platforms, ensuring efficient workflows and streamlined operations.
• Cloud Platforms: Good knowledge of cloud environments, particularly Azure, including deployment, management, and integration with other systems.
• Banking and Invoicing and Audit Systems: Proficient in handling IT support for banking and invoicing systems, ensuring secure and accurate transaction processing.
• Reporting and Analytics: Experience in setting up and managing reporting systems and analytical dashboards to monitor key performance indicators and support decision-making.
• Automation Deployment Services: Ability to automate deployment services across laptops and other devices, ensuring standardized configurations and operational efficiency.
• Microsoft 365 and SharePoint Online: Expertise in Microsoft 365 apps, SharePoint Online, OneDrive, and collaboration tools to ensure seamless digital workflows across the organization.
• Adobe's products: Expertise in Adobe apps, (Adobe Acrobat Pro, Adobe Creative Cloud, Adobe Sign, Adobe Stock) and marketing, communication tools to ensure seamless digital workflows across the organization.
• Data Governance and Management, Data Management Storage System: Strong knowledge of data governance, data management, metadata management, data storage and ensuring compliance with relevant regulations.
• AI Tools: Knowledge of emerging AI tools and their integration into business processes for enhanced automation, decision-making, and operational efficiency.
• Workflows and Processes: Excellent understanding of workflows and processes across traditional business departments (finance, HR, marketing, sales, supply chain, etc.), ensuring alignment between IT services and the needs of various organizational functions.
• Proficiency in English; knowledge of other European languages is a plus.

Skills:

• Excellent problem-solving skills and ability to troubleshoot IT issues, both internally and through outsourced providers.
• Strong organizational skills to manage multiple projects, outsourced services, and vendor relationships, including financial tracking and invoicing.
• Ability to work independently and within a team, demonstrating initiative and leadership when coordinating with external partners.
• Strong analytical skills with attention to detail, particularly in managing the performance and security of outsourced services and financial accuracy and other understanding of other departments.
• Excellent communication skills, both written and verbal, for coordinating with internal stakeholders and external service providers.
• Experience with vendor management, contract negotiation, and invoice monitoring, ensuring the smooth processing of IT-related payments.
