Job Overview:
The Executive Assistant to the Director plays a crucial role in providing organizational and administrative assistance to the Director and the Business Unit (BU) Diagnostic, ensuring seamless coordination in daily operations. The primary responsibilities encompass:
- Serving as a vital point of contact both internally and externally within the BU and across various teams,
- Assisting in the onboarding process for new team members,
- Managing incoming communications and directing them to the appropriate personnel within the organization,
- Supporting diverse activities of the Business Unit as required,
- Notifying the Director of the Business Unit as necessary,
- Overseeing, anticipating, and optimizing the Director's calendar and travel arrangements,
- Reviewing and obtaining necessary approvals for documents,
- Formatting and maintaining a variety of documents (including presentations),
- Conducting research utilizing both Internet and intranet resources,
- Inputting internal BU Diagnostic orders into the ERP system and monitoring their progress,
- Preparing shipments of documents, materials, or instruments to clients and conferences,
- Generating weekly KPIs for the BU Diagnostic,
- Organizing BU Diagnostic seminars,
- Maintaining a comprehensive understanding of the organization and standards related to our products to deliver exceptional service and accurate advice to both internal and external clients,
- Handling sensitive and confidential information with the utmost discretion and professionalism.
Candidate Profile:
The ideal candidate should possess a background in administrative support or a related field, with at least 3 years of experience in a similar position within a dynamic and international setting.
Attributes include being organized, meticulous, and self-sufficient, along with excellent interpersonal skills to facilitate effective communication internally and externally,
Proficiency with digital tools and adaptability, showcasing diplomacy, confidentiality, initiative, and discretion,
A proactive approach, strong service orientation, and a collaborative spirit,
Competence in Microsoft Office Suite (Word, Excel, and PowerPoint),
Fluency in French and English, with knowledge of an additional language being advantageous.
This position reports directly to the Director of the Business Unit Diagnostic.
