We are seeking a highly skilled Human Resources and Financial Manager to join our team at the European Psychiatric Association (EPA). As a key member of our organization, you will be responsible for managing HR functions, ensuring efficient procedures and policies, and supporting day-to-day financial processes.
Key Responsibilities- Human Resources:
- Develop and maintain a positive workplace culture, promoting diversity, equity, and inclusion, and employee well-being.
- Oversee all HR processes, including policies, regulations, timesheet updates, and payroll.
- Design and implement appraisal processes, including performance reviews and professional development interviews.
- Develop and implement training and development programs to enhance employee skills and engagement.
- Suggest measures for improvement and harmonization between the EPA headquarters in Strasbourg and the EPA office in Brussels.
- Supervise the communication of salary elements for Strasbourg and Brussels staff and liaise with relevant social service providers.
- Oversee HR-related administrative and legal formalities or questions.
- Support the Executive Director in recruitment processes and staff changes, including consultants.
- Keep an updated record of documents, decisions, and procedures.
- Approve time off and modifications to work schedules.
- Financial Administration and Support:
- Collect and verify invoices and expenses reports, prepare analytical allocations for the accountant, and set up payments for validation by the Director of Finance & Operations.
- Prepare treasury forecasts of expenditures and revenues for the Directors review.
- Daily control of bank statements.
- Provide support on administrative and legal formalities with external providers and on internal procedures.
- Assist in the development and monitoring of the EPA annual budget.
- Manage relationships with external auditors, tax advisors, and other financial stakeholders to support all EPA regulatory requirements.
- Additional Administrative Tasks:
- Draft administrative correspondence in English and French.
- Manage and update databases and mailing lists.
