POSITION SUMMARY

The Senior Technical Coordinator of Events plays a crucial role in ensuring the successful execution of various events under the auspices of UNESCO. Reporting to the Director of the Division for Conferences, Languages and Documents, this position involves overseeing the technical and logistical aspects of events, ensuring adherence to established protocols and standards.

KEY RESPONSIBILITIES

In this capacity, the Senior Technical Coordinator will:
  • Conduct thorough assessments of client needs prior to events, identifying potential technical challenges and recommending effective solutions to facilitate seamless operations.
  • Establish and nurture strong partnerships with clients and service providers, serving as the primary contact for all event-related communications.
  • During events, coordinate the activities of technical teams, ensuring that services are delivered efficiently and addressing any issues that arise with innovative solutions.
  • Provide training for temporary staff on operational procedures and systems relevant to UNESCO events.
  • Maintain the gMeets system, ensuring timely updates regarding technical requirements for accurate cost estimations and billing.
  • Identify and organize necessary technical resources for virtual events, offering guidance and support to event organizers.
  • Assist in the logistical preparations for major UNESCO events, including the General Conference and associated activities.
  • Collaborate with IT specialists to enhance existing applications and develop new systems aimed at improving event management processes.
  • Stay informed about advancements in event management practices and technologies, particularly those applicable to virtual settings.

ESSENTIAL QUALIFICATIONS

Education
  • Completion of secondary, technical, or vocational education.

Experience
  • A minimum of eight years of relevant experience in managing and planning conferences, meetings, and events.

Skills
  • Proven ability to work independently with minimal supervision.
  • Strong leadership and team empowerment capabilities.
  • Excellent interpersonal and communication skills, fostering positive relationships with diverse stakeholders.
  • Ability to thrive in a multicultural team environment.
  • Proficient in prioritizing tasks to meet deadlines effectively.
  • Capability to perform under pressure, especially during peak event periods.
  • Solid understanding of information technology, particularly in document management systems, Excel, Access, and Word.

Languages
  • Fluency in English or French, with a good command of the other language.

DESIRABLE QUALIFICATIONS

Education
  • Professional certifications such as CMP, CSEP, CMM, CEPS, or DES.

Experience
  • Experience in event management within the United Nations system or international organizations.

Skills
  • Familiarity with gMEETS and INDICO IT applications.

Languages
  • Knowledge of additional UNESCO official languages (Arabic, Chinese, Russian, Spanish).
