As an Executive Support Specialist, your role is to support senior executives within Worldline with various tasks to make their daily life more efficient and organized. The support required is diverse and spans from administrative tasks to activities around events & investors.

  • You are responsible for travel arrangements, document handling and business correspondence for your function leaders
  • You organize, prepare and administer meetings with agenda
  • You follow-up on various assignments resulting from said meetings
  • You handle budgetary topics such as expense reports & purchase orders
  • You are responsible for some staff related activities such as onboarding & offboarding, team absence administration & logistics for team events
  • You support managers' attendance at marketing related activities both inside and outside Worldline by being in charge of the organization around events such as roadshows and conferences

Key Responsibilities

  • Provide exceptional support to senior executives, ensuring their daily tasks are completed efficiently and effectively
  • Organize and coordinate meetings, travel arrangements, and document handling
  • Manage budgetary topics, including expense reports and purchase orders
  • Handle staff-related activities, such as onboarding and offboarding
  • Support managers' attendance at marketing events

Requirements

  • Strong communication skills, comfortable engaging with senior executives and external stakeholders
  • Excellent situational awareness, with the ability to navigate complex environments and identify key priorities
  • Proactive problem-solving approach, including the ability to anticipate needs and suggest organizational improvements
  • Outstanding organizational and time-management skills, with the ability to handle multiple priorities efficiently
  • Proven capacity to manage and maintain confidentiality with sensitive information
  • Meticulous attention to detail, ensuring accuracy in all tasks and documentation
  • Ability to thrive under pressure and meet tight deadlines without compromising quality
  • Experience in a similar role is essential
  • Proficiency in Excel and MS suite is required
