The OPS Proposal Coordinator plays a crucial role in overseeing the development of proposals for intricate opportunities, typically exceeding $5M, with a strong emphasis on the commercial aspects of the proposal and management of the pricing documentation. This position ensures adherence to the governance protocols of Westinghouse and efficiently organizes necessary meetings. The individual will report directly to the Proposal Management Director.

Key Responsibilities:

  • Oversee the Development of Large/Complex Proposals:

Typically for projects valued over $5M.

Prepare the Division of Responsibility Matrix for the proposal and communicate expectations to the bid team.Develop and manage the proposal timeline, ensuring compliance with internal processes and customer deliverables, including scope, schedule, and cost elements. Proactively address any issues that may arise.Identify specific RFQ requirements and coordinate necessary inputs for completion, including forms and translations.Facilitate bid/no bid decisions, kickoff meetings, and status review sessions.Collaborate with the Customer Solution Manager, Account Team, Contracts/Legal, and other relevant departments such as Supply Chain Management, Finance, and Quality Assurance.Assist the Offer Capture Team in creating mitigation strategies for identified risks.Draft the comprehensive commercial bid description, pricing, Terms of Payment, and other contractual terms.Integrate all relevant inputs into customized customer offer templates, ensuring a complete submission package.Verify that all aspects of the customer Request for Quotation are addressed in the proposal.Distribute the draft proposal to the team and consolidate feedback into the final submission.Ensure timely and complete submission of the proposal to the customer through the appropriate channels.Maintain updated information in the Company CRM system during the proposal phase.Support negotiations with clients until the final contract is signed, ensuring alignment with all relevant stakeholders.

Oversee the entry of orders into the system and the issuance of order acknowledgment letters.

Costing and Pricing for Large/Complex Proposals:Work with the Customer Solutions Manager to develop cost models that align with financial requirements.Incorporate all cost elements and margin factors into a pricing model that complies with customer templates and governance processes.Ensure accuracy in cost rates, overheads, and margins in estimates, and generate comprehensive estimate sheets.Propose payment terms to support project cash flow.

Prepare the pricing section of the proposal in the required format, ensuring robustness and consistency with Westinghouse's cost inputs.

Governance Process Oversight:Provide oversight to ensure compliance with relevant policies and procedures.Determine appropriate governance levels and required approvers.Confirm governance requirements, schedule meetings, and develop necessary documentation.Coordinate inputs for draft governance documents and facilitate reviews.Manage governance meetings with senior leadership to secure necessary approvals.

Document meeting notes and incorporate changes into governance documentation.

Collaboration and Support of Company Objectives:Support financial goals for the business segment, including margin, order entry, and opportunity growth.Maintain technical and sales knowledge to support product portfolio needs.Build and sustain critical relationships with internal and external stakeholders.Participate in the execution of sales strategies.Contribute to risk identification and mitigation efforts.Support pricing strategy development and risk reviews.Enhance alignment and productivity among account teams and marketing to optimize market share.Address complex problems requiring thorough investigation and analysis.

This role requires the ability to influence others and effectively communicate with executive leadership.

Qualifications:

A Bachelor's degree in Engineering, Business Management, or a related field is required.

  • 2-5 years of experience in an industrial environment with strong commercial acumen and project management skills.
  • Ability to meet deadlines and work independently.
  • Proactive problem-solving skills and a positive team-oriented attitude.
  • Strong numerical skills and advanced proficiency in Microsoft Excel.
  • Effective communication skills with stakeholders at all organizational levels.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, SharePoint).
  • Familiarity with additional IT tools (SAP, D365, PowerBI) is a plus.
  • Willingness to travel domestically as needed.
