Job Overview:

Reporting to the deputy director overseeing the Social Action division, the versatile administrative assistant collaborates closely with financial and HR representatives, as well as with the Social Action team. This position also works alongside the executive assistant to enhance interdepartmental cooperation and support the execution of municipal social action initiatives. The administrative assistant plays a key role in service projects, prepares documentation for meetings, and manages correspondence for the management team.

  • Oversee both in-person and telephone reception duties
  • Coordinate the schedules of department leaders and the deputy director: organize, monitor, and prioritize appointments
  • Assist in the planning and organization of meetings: prepare agendas, collect pre-meeting materials, document meeting minutes, and ensure follow-up on action items
  • Create and format various office documents: dashboards, specific reports, and letters
  • Draft straightforward letters and administrative documents
  • Contribute to the administrative management of the Social Action division and Resources sector
  • Support the organization of annual events and projects within the social sector
  • Manage calendars and timelines for departmental events and meetings
  • Facilitate effective communication within the department and with other departments
  • Provide interim support to the executive assistant as needed

Desired Profile:

Background in secretarial studies is preferred.
