The Administrative Executive Assistant plays a crucial role in providing comprehensive support to the General Manager while overseeing the operational aspects of hotel services. This position is essential in ensuring adherence to hotel policies and standards, while delivering exceptional service to our guests. The Administrative Executive Assistant is tasked with enhancing guest experiences, managing VIP services, liaising with various departments, and ensuring the successful financial and operational performance of the hotel.
Key Responsibilities:Administrative Support:
- Deliver high-level administrative assistance to the General Manager, ensuring compliance with hotel policies and procedures.
- Draft and manage guest correspondence, including tracking and facilitating VIP reservations.
- Monitor and follow up on guest requests to ensure personalized service and attention.
- Collaborate with the ALL Loyalty team and Front Office to acknowledge and reward our valued guests.
- Handle Executive Office communications and manage schedules effectively.
- Support the Sales Coordinator with donation inquiries and requests.
- Maintain confidentiality of all Executive Office communications.
- Assist with holiday and special occasion preparations.
- Ensure compliance with health and safety regulations.
- Undertake additional duties as required.
Operational Management:
- Supervise daily operations of assigned hotel services, ensuring adherence to service standards.
- Develop and implement innovative promotional strategies to enhance revenue.
- Collaborate with the Culinary team to deliver exceptional dining experiences.
- Conduct regular meetings to ensure alignment and communication across departments.
- Monitor financial performance and operational targets for all services.
- Oversee inventory management and budget adherence.
- Drive continuous improvement in guest service standards and operational efficiency.
- Manage staffing schedules to meet business demands.
- Conduct training and performance evaluations for team members.
- Ensure compliance with ethical standards and labor agreements.
- Address guest concerns and support outlet managers as needed.
- Balance operational, administrative, and team needs effectively.
- Other responsibilities as assigned.
