Purpose of Job: Build, maintain and audit Field Staff schedules for optimal guest experience, and act as a direct point of contact for our field staff. This role is integrated into LD department as a part of the Scheduling Team and will work closely with Field Staff and TD/LD Managers to find the sweet spot in covering business needs, guest satisfaction and leader happiness. MAJOR DUTIES AND RESPONSIBILITIES:
FIELD STAFF SCHEDULES:
The process of scheduling Field Staff has been refined over the years and, while a big puzzle, also follows policies and procedures. Each month goes something like this- Partner with Field Staff Coordinators, Managers and Ops to get TE/RE/OpXs scheduled first.-
- Assign leaders to trips following the guidelines and parameters that are in place to guide your decision-making. You will consider things like, but not limited to: carryover, language skills, depth of experience and preferences. Throughout this schedule building process, you will collaborate frequently with other schedulers.-
- Meet with Regional Managers to review regions’ schedules. You may also get feedback on how the schedule looks from other schedulers, Ops and LD Managers.-
- After all the trip tasks are assigned and reviewed, you will fill in all the other pieces for Leaders - preps, trip drives, fams, travel days, trainings, etc.-
- Once the schedule seems complete, you will liaise with the Scheduling Team to review reports and audits to make sure work is distributed equitably across Field Staff and confirm that all trips are set up for the best guest experience.-
- On publish day, you will collaborate with the team to tie up any loose ends, push the publish button and get ready to build the puzzle again for the next monthIn addition to building the monthly schedule, your tasks throughout the season would include the following- Update schedules to account for enrollment changes, trip cancellations/additions or changes in leader availability. We have reports and audits that allow us to catch all required changes.-
- Problem-solve to cover dropped schedules. Like the monthly schedule build, this part of the job has defined parameters to help you find the right solution. Due to the nature of dropped schedules, this process usually happens much faster than the monthly schedule build and we frequently must get creative.Review and process time off requests-
- Update scheduling materials as policies change.-
- Participate in the LD On-Call calendar.-
- Consult closely with Scheduling Manager and rest of team to implement process improvements.REQUIRED KNOWLEDGE AND ABILITIES:
- Proven problem-solving, analytical and time management skills.-
- Meticulous attention to detail.-
- Ability to work in an autonomous but supportive environment and make decisions using your keen sense of judgment.-
- Excellent written and verbal communication skills in English.-
- Multi-lingual skills preferred though not required.-
- Ability to be discreet and professional with employee performance information.-
- Experience with Microsoft Office Suite, particularly Excel and Word, as well as a demonstrated ability to learn new systems (proprietary databases)-
- Must be able to self-direct, work independently and work effectively as part of a team.-
- Trip-leading and Mentor experience You do not need a lot of it though. Even just one season in the field gives you enough context to make this job a fit.ROLE DURATION:

- potential of Seasonal Contract: January through October 2025
- This role is ideally held by a European field staff open to work a non traditional work week (Tues - Sun), but open to ALL who meet work authorizations in the US or Europe.
