**Job summary**

Ensures the planning of the School's academic activities (calendars, lectureships, exams, graduation sessions), optimizing the use of both teacher resources and didactic spaces.

**Key purpose of the role**

**Courses planning-** Ensures the preparation of academic calendars and the correct scheduling of all the School's courses, of Intakes, of short courses, of MAs, assigning the best suited classrooms and spaces based on the needs of each program (elaborated by the Course Leaders) and on the number of students enrolled in each course, in collaboration with the School's Academic Coordination referents; supervises the process to provide information to students concerning laboratories available for free access activities; ensures the sharing of the didactic planning format with other areas, the preparation of the general time tables of the courses and its forwarding to lecturers and students; ensures the management of spaces for events (open days, other promotional activities, other academic activities, such as language courses, safety courses, short courses, etc.), optimizing their planning in coordination with didactic activities (using the dedicated IT tool). Ensures the planning and management of exam calendars and graduation sessions for the School's programs (defining dates, time slots and classrooms), ensuring the calendars are published once approved by the lecturers.

**Online register -** Ensures the activation and online recording of teacher registers, including attendance records; ensures the amendment of registers based on checks performed by the secretarial office; checks that employed lecturers work the established amount of hours.

**Scholarship management -**Ensures the management of DSU scholarships for deserving the School's students, following the entire related process: formulation and publishing of the contest notice, rankings, assignment of the scholarships and preparation of reports for the correspondent Institutions.

**Budgeting, Forecasting and Reporting -** Ensures the accurate elaboration of the budget for academic courses and Academic Processes, and the monitoring of forecasts; ensures the elaboration and analysis of periodic reports for the purpose of monitoring area performances and explaining any misalignments; prepares order proposals for didactic purchases, to be approved by the Head of Academic Processes, ensuring these are in line with the budget and managing any order follow ups; optimizes the use of resources in the management of activities under his/her responsibility; ensures the elaboration of operational reports concerning the use of spaces and the employment of teachers, for the purpose of assessing performance levels and of elaborating a forecast for planning academic activities in future years, based on the availability of spaces and their possible destination.

**People Leadership and Management -**Ensures the management of resources under his/her responsibility, their professional growth and the development of their skills; plans and organizes their work and activities and assigns new projects; approves holiday plans and leaves and plays an active part in the selection of resources; ensures compliance with company policies, of the ethical code and procedures; actively supports change management and innovation initiatives; ensures that all documentation is correctly updated and archived on an ongoing basis.
