DESCRIPTION

As an Executive Assistant at the prestigious John Taylor real estate agency in Bordeaux, located in the heart of the city, you will work closely with the Directors and the sales team. You will be responsible for coordinating all the administrative, logístical, and organizational aspects of the agency.

KEY RESPONSIBILITIES

Administrative and Accounting Management:
Managing the company's accounts: handling accounts, invoicing, payment tracking, and follow-ups.
Managing relationships with suppliers and service providers: tracking contracts, payments, and maintaining relations with service providers.
Creating and managing TRACFIN files: collecting and updating information according to internal procedures.
Managing mandates (sales, searches, BDV): sending for electronic signature, maintaining the register, tracking, and following up on internal procedures.
Handling administrative tasks related to the agency's activities: managing rental contracts, sales, and property rentals, as well as client requests.
Managing client databases, maintaining records, and handling confidential documents.
Preparing and updating presentations, reports, and administrative documents for the agency's activities.

Secretarial Duties:
Human Resources Management:
Drafting and tracking commercial contracts.
Onboarding agents: presenting tools and internal processes.
Managing the Directors' and sales team's schedules: planning appointments, meetings, and events.
Organizing business trips: booking flights, hotels, car rentals, and handling visas/passports if necessary.
Supporting interns: conducting interviews, onboarding, and management.

Logistics and Office Support:
Procuring office supplies: stationery, consumables.
Managing the agency's specific needs (business cards, ordering promotional items).
Preparing weekly meetings: preparation and minute-taking.

EDUCATION AND EXPERIENCE

University degree in administration, accounting, or an equivalent field.
Previous professional experience as an Executive Assistant or in a similar role.
Excellent communication skills, both written and spoken, in French and English.
Proficient in computer tools, particularly word processing, presentation, and database software.
Excellent organizational skills and the ability to manage priorities effectively.
Ability to work in a team and interact with clients in a professional manner.
Neat presentation.
Responsible, autonomous, organized, dynamic, and cheerful.
