**Overall Purpose of The Job**

**Key Responsibilities and Tasks**
- Administrative Coordination
Serve as the primary point of contact for all administrative matters related to the yacht.
Maintain organized and up-to-date records of crew documentation, vendor contracts, and regulatory compliance requirements.
Coordinate travel arrangements for crew and guests, including flight bookings and transfers.

Accounting & Financial Tasks
Assist with budget tracking and expense reporting.
Support in preparing monthly financial statements and handle petty cash reconciliation.
Coordinate with the yacht management company or owner’s office to ensure smooth financial operations.

Crew & Compliance Management
Update and track crew certifications, medical records, and schedules.
Assist with recruitment and onboarding processes for new crew members.
Ensure compliance with maritime regulations and flag state requirements by maintaining up-to-date vessel documentation.

Communication & Language Support
Communicate effectively with international guests, crew, and vendors.
If able, use French language skills to liaise with French-speaking suppliers, marinas, and local authorities.

Operational Support
Collaborate closely with the Captain, Chief Steward/ess, and other senior crew to maintain operational efficiency.
Participate in planning itineraries, port entries, and arrivals/departures.
Coordinate with external agencies for port clearance, customs documentation, and other formalities.

**Essential**
- Experience:
Previous shore based in cruise / yacht management company.
Accounting Knowledge:
Basic accounting skills and familiarity with bookkeeping software or spreadsheets.
Experience handling budgets, invoices, and financial reporting.
Language Skills:
Fluent or conversational English is required.
Technical & Software Skills:
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) or similar platforms.
Soft Skills:
Excellent organizational and time-management abilities.
Strong communication and interpersonal skills.
Proactive problem-solver with a keen eye for detail.
Ability to multitask and work effectively in a fast-paced environment.
Other Requirements:
Willingness to travel and flexibility to adapt to changing itineraries.

**Desirable**
- Strong administrative or coordinator background; prior yacht administration experience is a plus.
Marine engineering experience is a plus
French language good knowledge (written and spoken) is a strong advantage
Familiarity with maritime-specific management software is beneficial.
