**Introduction**:
In the effort to improve newcomers experience, staff retention, work-life balance and talent attraction, the Human Resources Unit is requesting an expat relocation and a corporate concierge service that enables eu-LISA to offer employees with a wide range of personalised assistance, making their work lives more manageable.
The services required include support to newcomers for smooth relocation and family integration support for new staff that are moving countries, staff concierge service and communication and administrative services that help employees with time-consuming tasks, allowing them to focus on what truly matters in their roles, enable employees to better balance their professional and personal lives, reducing stress and burnout and foster a positive Workplace Culture that shows eu-LISA’s commitment to employee well-being.
**Skills, knowledge, experience required**:

- A level of post-secondary education (Bachelor’s degree) attested by a diploma;
- Minimum 2 years’ relevant professional experience of which minimum 1 year of experience in administration, finance, or event management;
- Previous experience in relocation/concierge service for expats;
- Experience in the field of administrative and/or secretarial work;
- Knowledge of and/or experience in working with MS Office Suite and MS SharePoint-based platforms;
- Good knowledge of French laws, and French market;
- Ability to:

- Maintain high level of accuracy, loyalty, confidentiality and professionalism;
- Run reports;
- Work under pressure and respond to changes in a rapidly evolving work environment;
- Exercise professional discretion in a highly confidential work environment;
- Work in teams and individually as needed;
- Proven strong level of personal integrity;
- Supportive and helpful personality, with cooperative and service-oriented attitude;
- A proactive and customer-oriented approach, while performing the specific tasks and responsibilities;
- Good communication and interpersonal skills;
- Knowledge of French language, and fluent knowledge of English language.

**Desirable**:

- Previous working experience in an international environment.

**Duties/role**:

- Providing support to newcomers for smooth relocation:

- Following the initial contact and assessment (either in form of questionnaire or interview) to determine the needs and expectations regarding accommodation: rental or purchase, the budget, temporary/permanent, the location, any personal requirements, etc.;
- Based on the requirements and preferences the service supports the newcomer in booking viewing appointments, perform visits and in negotiating and concluding the lease contract. This element shall also continue if the newcomer arrives and starts working at eu-LISA;
- Relocation assistance and support shall be provided to the newcomers before joining and during 1 year following taking up duties;
- Performing communication and administrative services:

- Preparation of the leaflet in English with the services covered and contact details (including helpline number);
- Assistance to obtain any elements related to the settlement of the staff member (e.g. personal identification code, assistance with registration with local utilities suppliers, internet and phone registration, opening a bank account, support with car registration, filling out forms in local language(s), referrals to certain specialists (general practitioners notaries, lawyers, veterinarians, insurances, etc.));
- Providing family integration support:

- Assisting with the enrolment to the nursery and schools;
- Helping to find the babysitters, extra‐curricular activities, etc.;
- For spouses: providing information on job‐seeking (or project) opportunities/registration in the unemployment office/platforms in the new city of residence, as well as opportunities to learn languages, suggesting social activities;
- Providing staff concierge service:

- Support employees with time-consuming tasks such as arranging daily tasks that would allow them to focus at their work, such as doctor appointments, booking a taxi or car rental, sports activities, organising services/activities at the work place etc. The services are paid directly by the employees requesting the services and the service provider shall create and maintain a list of those services at the disposal of the staff;
- Monitoring of relevant KPIs and readapting offer according to data and feedback received.
