He/she will support managing the Communications budget through our Boost platform assuring the whole follow-up for all Euronext Communications teams from start to end according to Procurement and Accountable Payment. He/she will join the Events Team led by the Group Head of Events within the Communication and IR team of Euronext. The job is based in Paris.
Key accountabilities
Ensure regular monitoring of costs vs annual budget and in particular the events team budget, managing all expense requests for organizing an event; events delivered are virtual, hybrid and physical and could be either corporate events or bell ceremonies and large scale events to support the business and group objectives in close co-ordination with the businesses and clients.
In order to pursue this objective it is important to manage the relationship with suppliers when needed and ensure compliance of Euronext policy by our suppliers.
- Managing the process of POs (Purchase Orders), from start to end, from raising and following-up PR approval and reminding approvers when necessary
- Send PO to supplier, briefing them to send to us proper invoice
- Send invoices to AP - request amendment to supplier when necessary
- Manage internal requests and questions about PR/PO/Invoices/deposit situation
- Manage request manual payments for urgent payments or deposits
- Approve invoices at the end of the process
- Register suppliers into the system when necessary or update their info on a regular basis
- Ensure regular reporting in the Communications budget reporting tool which is Boost
- Collaboration with legal and compliance department to manage all the activities connected to event management (liaising with Legal Team for contracts, onboarding of new suppliers, raising POs)
- Checking of monthly closures against communication budget liaising with AP team in each geography
- Liaising with Finance Department to ensure a regular reporting and smooth workflow dealing with accounting activities
- Coordinate all administrative aspects related to our main supplier at a group level such as the Group graphic agency or any other relevant supplier
- Update on a regular basis the Comms budget
- Work closely with teams in the Communications and Investor Relations (IR) department such as the Press, Social Media, Brand & Content teams as well as with other departments such as the Marketing teams. Be the key contact point for any PO request from Comms & IR team
- Support when necessary with the organization of special projects with internal colleagues.
