Fixed term until October 2027
The role is sat within our Brand Experience Division at Wasserman Live. You will support the planning of these brand experiences, working with the Account Manager and Account Director.
You will be involved in the project planning from start to finish, onsite activation and event management, budgeting, feasibility and administration. You will take part in brainstorms, be creative and share ideas, calling on any industry knowledge, be able to support in creating presentations.
Specific responsibilities:
- Ensure that work produced meets all objectives set, is done by the agreed time to the highest standard and achieves the best possible results for the company and client
- Assist in the development of creative ideas, undertaking research as requested to ensure they are possible to implement within specific parameters and budget
- Be involved in the research and feasibility of ideas generated
- Supporting all operational and administrative functions to ensure each event is delivered efficiently
- Assistance with financial elements of accounts – budgeting, PO's, supplier invoicing/cost management
- Oversee the sourcing, purchase and management of suppliers, quotes and detailed information
- Project Management: ensuring project systems and procedures are setup and structured correctly, ensuring all relevant data is entered concisely onto Wasserman Live's client management system (Quest)
- Compiling and writing client responses and presentations
- Efficient meeting management, preparation and write up of notes and actions
- Management of artwork requests and sign off
- Co-ordinate and manage staff and contractors on site for the delivery of projects
- Maintaining good communication and reporting
- Compiling and maintaining project reports, job sheets and schedules
- Managing supplier relationships
- Thorough and concise event reporting and management of data capture
- Responsibility for creation of risk assessments and method statements
Skills and Experience
- Ability to read and speak English
- Ability to juggle several tasks at once and consistently deliver high-quality work to tight timescales
- Ability to build and maintain strong working relationships with clients, suppliers, and colleagues
- Presentation skills (both writing and delivery), internally and to clients / suppliers
- Ability to think around issues by providing solutions, not problems
- A high proficiency in numeracy and literacy
- Prioritisation and time management skills
- Ability to meet challenges and quickly deliver workable solutions in demanding environments
- Calm under pressure
- Clean driving licence
- Acceptance of some anti-social/long hours
- Experience within a similar role [agency-based] is preferred
- Experience of event management and onsite activation exposure
- Knowledge and capability to use MS Word, MS Excel, MS Powerpoint and MS Outlook

Missions
Le poste s'inscrit au sein de notre division Brand Experience chez Wasserman Live. Vous interviendrez en support de la planification des expériences de marque, en collaboration étroite avec l'Account Manager et l'Account Director.
Vous participerez à la planification des projets de A à Z, aux activations sur site et à la gestion des événements, ainsi qu'aux volets budgétaires, de faisabilité et d'administration. Vous prendrez part aux brainstormings, contribuerez de manière créative au partage d'idées en vous appuyant sur votre connaissance du secteur, et participerez à la création de présentations.
Responsabilités spécifiques
- Veiller à ce que les livrables répondent à l'ensemble des objectifs fixés, soient produits dans les délais impartis, selon les plus hauts standards de qualité, et génèrent les meilleurs résultats possibles pour l'entreprise et le client
- Contribuer au développement d'idées créatives, mener des recherches lorsque nécessaire afin de s'assurer de leur faisabilité dans le respect des contraintes et des budgets définis
- Participer aux phases de recherche et d'analyse de faisabilité des idées proposées
- Soutenir l'ensemble des fonctions opérationnelles et administratives afin d'assurer une livraison efficace de chaque événement
- Apporter un support sur les aspects financiers : budgets, bons de commande (PO), facturation fournisseurs et gestion des coûts
- Superviser la recherche, l'achat et la gestion des prestataires, des devis et des informations détaillées associées
- Assurer la gestion de projet en veillant à la bonne mise en place et structuration des systèmes et procédures, ainsi qu'à la saisie claire et rigoureuse des données dans l'outil de gestion client de Wasserman Live (Quest)
- Compiler et rédiger les réponses clients et les présentations
- Gérer efficacement les réunions : préparation, rédaction des comptes rendus et suivi des actions
- Gérer les demandes de création graphique et les validations associées
- Coordonner et encadrer les équipes et prestataires sur site lors de la livraison des projets
- Assurer une communication fluide et un reporting régulier
- Compiler et maintenir à jour les reportings projets, fiches projets et plannings
- Gérer les relations avec les fournisseurs
- Réaliser un reporting rigoureux et assurer la collecte et la gestion des données
- Être responsable de la création des analyses de risques et des méthodes opératoires
Competences et Experiences
- Capacité à lire et à parler anglais
- Capacité à gérer plusieurs tâches simultanément tout en livrant un travail de haute qualité dans des délais serrés
- Capacité à établir et entretenir de solides relations professionnelles avec les clients, les fournisseurs et les collègues
- Compétences en présentation (rédaction et prise de parole), en interne comme auprès des clients et des prestataires
- Capacité à aborder les problématiques en proposant des solutions
- Rédaction et excellente maîtrise du numérique
- Savoir prioriser et gérer son temps
- Capacité à faire face aux défis et à livrer rapidement des solutions opérationnelles dans des environnements exigeants
- Calme et maîtrise de soi sous pression
- Permis de conduire valide
- Possibles horaires décalées et longues journées en événements
- Une expérience dans un poste similaire en agence est souhaitée
- Expérience en gestion événementielle et en activations sur site
- Maîtrise des outils MS Word, MS Excel, MS PowerPoint et MS Outlook
