MissionGeneral description
The Administration and Finance Assistant is in charge of accounts receivable and accounts payable at Paris College of Art, and represents the Vice President of Administration and Finance, as needed.
Responsibilities & duties
Accounts receivable
- Billing
- Follow up, collection, and allocation of payments
- Maintain accounts receivable customer records and files
- Reconciliation of accounts
Accounts payable
- Process orders and track expenses
- Receives and verifies invoices following standard operating procedures
- Processes payments in accordance with PCA policy
- Reconciliation of accounts
- Handles vendor inquiries and requests information as needed
Administration
- Prepare documents and information for the V.P. of Admin. and Finance and external service providers (e.g., accountants, auditors)
- Assist in month- and end of year-closing
- Facilities management: Track requests and coordinate weekly with external service provider for campus maintenance, and as needed with other providers
Relationships
Reports to: Vice President of Administration and Finance
Supervise: Interns as needed
Work experience & skills (including management)
- Excellent English and French communication skills
- Strong knowledge of accounts payable; accounts receivable and maintaining general ledgers
- 1-3 years experience in the field
Personal qualities & behavioural traits
- Flexibility, positive attitude and sense of customer service with students, faculty, staff and third-party providers
- Attention to detail and strong organizational and time-management skills
- Sense of when to maintain strict confidentiality
Education
Associate degree in accounting or finance
Language skills
Fluency in both French and English
Computer skills
Proficiency in Microsoft Office, especially Excel
Working knowledge of CRM databases (e.g., Slate, Jenzabar, Pipedrive) preferred
Type of contract
Open Term (CDI). Hours : 35 hours per week.
