Mission Summary

As part of its development, TIMEWAY is looking for a Supply Chain & Back Office Assistant (Intern) who is organized, proactive, and detail-oriented.

You will support the Product Marketing team in Supply Chain and Back Office in order processing, logistics coordination, and product development operational support to ensure smooth day-to-day operations.

This role is essential to guarantee an efficient flow of goods from suppliers to customers and to support our product marketing and commercial teams.

Main Responsibilities

1. Supply Chain & Logistics Coordination

2. Order follow-up: Follow up on PI and PO status with suppliers to ensure alignment with expected timelines, order specifications, and quantities.

3. Coordinate inbound shipments with suppliers, freight forwarders and warehouse.
4. Track delivery schedules, shipping documentation, and customs requirements.
5. Communicate with warehouses regarding incoming stock, packaging availability, and product reception.
6. Monitor stock levels and prepare internal stock and delivery reporting.

7. Anticipate potential delays and escalate internally when needed.

8. Product Development Operational Support

9. Support product development follow-up: sample follow-up, prototype tracking, collection setup.

10. Assist in preparing technical documents (product sheets, product attributes, SKU configurations).
11. Update and maintain internal product data in ERP system and database: SKU creation, pricing, barcode files, BOM, and product sheets.
12. Follow up with suppliers on technical clarifications, delivery schedules, and operational documentation.

13. Participate in internal coordination for new season readiness (samples, packaging, barcodes, references).

14. Internal Collaboration Only (no direct client contact)

15. Work closely with Product Marketing, Sourcing, Logistics, and Commercial teams on internal workflows.

16. Contribute to process improvements to optimize product development workflows and operational efficiency.
17. Support the team during trade fair preparations from an operational/product setup perspective (no client-facing tasks).

Required Skills & Qualifications

• Interest in supply chain, operations or product development.
• Excellent organization ability and strong attention to detail.
• Comfortable following structured processes and managing multiple deadlines.
• Strong communication skills for internal and external coordination.
• Ability to work independently and meet deadlines
• Proficiency in Excel (VLOOKUP, pivot tables a plus).
• Experience with ERP systems is a plus (training provided).
• Proficiency in French and English (spoken & written).
• Passion for watches and jewelry; Familiarity with fashion/luxury industry tone and vocabulary is a plus

Qualifications

• You are a master student, available for a duration of 6 months internship.
• Detailed oriented, proactive, and a good communicator
• Proficiency in Excel and basic office tools
• Proficiency in French and English (spoken and written), Mandarin is a plus
