Job description

The Workday Support Specialist is responsible for providing essential support to departments using Workday by:

  • Performing and overseeing maintenance activities
  • Providing level 2 support to departments and liaising with the global level 3 team
  • Assisting departments in the effective use of Workday and improving their system competence.


Key Interactions :

  • Shared Service Centre (HR HUB: Personnel Administration and Payroll)
  • HR departments and/or HR management
  • International mobility management teams recruiters
  • Staff development teams
  • Any other internal department/service using Workday data (via interfaces)
  • Any external department interfering with Workday
    Workday Global Team (Level 3)

Maintenance follow-up:

  • Ensure the initial configuration and setup of Workday to meet local requirements
  • Maintain the correct configuration of maintenance items and reference data
  • Ensure consistency of requests with customer processes or reference data
  • Manage role assignments in accordance with security and compliance policies
  • Analyse and resolve first level issues encountered by HR teams
  • Participate in and monitor Workday data quality projects

Proximity Services:

  • Provide day-to-day support to HR teams and during specific HR campaigns in the use of Workday
  • Provide functional expertise in Workday HCM, Comp/Benefits, Recruitment and Performance
  • Establish and maintain HR and interface communities
  • Provide on-site and remote support
  • Set up and supervise a help line


Projects :

  • Respond to business needs by translating them into functional requirements
  • Ensure that Workday solution development requests are consistent with customer processes
  • Collaborate with integrators/level 3 teams on configuration choices and alternatives
  • Carry out functionality tests in Workday
  • Participate in projects aimed at developing and optimising support, the Hub and new Workday modules
  • Initiate improvement requests based on user feedback
  • Managing communication and tracking updates

Training/Information:

  • Deliver Workday training to new starters and as part of ongoing training.
  • Plan and monitor the training calendar
  • Promote best practice in the use of Workday
  • Create, update and distribute user guides in accordance with established guidelines
  • Lead HR communities around Workday modules

Qualifications:

  • Degree in computer science, HR, data management or related field.
  • Relevant Workday and/or IT security certifications a plus.
  • Workday Expertise: Proficiency in Workday modules, including payroll and time management, with the ability to configure and parameterize the solution to meet specific business needs.
  • Data Experience: Strong understanding of data management principles including maintenance, data quality and anomaly analysis. Ability to use tools such as PowerQuery/DataInsights to extract insights and improve data processes.
  • Security Knowledge: In-depth knowledge of security processes related to Workday and HR information systems, with experience implementing security and compliance policies, and managing roles and permissions within Workday.
  • Interface Project Management: Proven experience in managing interface projects between Workday and other systems (such as ADP, Concur/SAP, Neocase, etc.), including interface design, implementation and monitoring.
  • Communication and Training: Excellent communication and training skills, with the ability to deliver Workday training, write user guides and effectively communicate updates and best practices.
  • Proactive Approach: Ability to identify and initiate improvements based on user feedback, and actively participate in the testing and deployment phases of new Workday features.
