The team assistant will contribute to the proper functioning of several strategic teams. He/she will be the link with other HQ departments and external services providers/suppliers/firms.

MISSIONS & ACTIVITIES

Day-to-Day Activities Support:

- Manage the agendas (if requested) by planning appointments and meetings in advance to meet the managers’ needs and ongoing smooth activity.
- Participate in the weekly planning meetings of the teams
- Create and manage cross-functional coordination between the departments on joint activities and shared initiatives
- Ensure physical welcome and accompaniment of visitors
- Prepare, organise and coordinate travels and moves within respect of the company’s travel policy.
- Take the lead in preparation stage of relocation of new team members or moves of existing ones, along with admin and onboarding support in the initial stage (as coordinated with the respective Director).
- Booking and coordination of teams’ events and receptions of other Group employees in the defined weekly and/or monthly planning and within the Pernod Ricard Travel & Expenses procedure as requested.
- New programs coordination and feedback consolidation

Administration:

- Sort & dispatch postal mail by ensuring its complete processing.
- Manage the archives and documentation copy and scan as needed (paper & electronic).

Events and Moments of Convivialité:

- Maintain annual calendar for single teams, cross-departmental events and individual employees MOCs
- Coordinate with the Directors the format and where applicable - activities budget for conviviality moments organization (i.e. new hire, send reminder to the teams when there is an event in The Island, Birthday, employee event, etc.)
- Contribute to and participate in existing cross-functional initiatives as defined within the assistants’ community, along with new events / projects designated in line with new/emerging needs across the population she collaborates with.
- Pro-active collaboration and alignment with the PA on joint initiatives.

Contribute to the follow-up of the activity and budget management
- Coordinate with & remind internal and external collaborators when required on outstanding invoices/POs processing
- Contribute to the follow up of the accounting activity respecting the deadlines
- Create new providers in the system
- Create PO and invoices in the system
- Consolidate recharges data and coordinate b/w Finance, Global Teams and Affiliates
- Support on simple budget follow-up within the scope of work
- Deal with supplier reminders when necessary (missing invoices)
- Be the first contact with accounting when first question raised

Ad Hoc activities
- As may be requested from time to time, organise events within the scope of the approved programs (scheduling, logistics, information exchange, etc.)
- Participate to specific projects as a member of the project team and take responsibility for the assigned tasks delivery within the project work
- Depending on the function, administrative management of tools / processes linked to the function / support to a specific team

PROFILE/EXPERIENCE
- Bac+2 minimum
- 7 - 10 years’ experience at a similar position
- English and French fluent
- Excellent knowledge and practice of Microsoft Office tools (Word, Excel, Powerpoint, Outlook, Teams)
- Palatability for PPT presentation design and visual supports appreciated,
- Knowledge of Concur is a plus
