**THE ROLE**

Besides your daily office tasks you will be able, based on your ability and goals, to bring direct project support to the sales and commercial teams, so that your tasks will be as diverse as the people you are working with. On a typical day you may be working with preparations for kick-off, pre-LOA, strategy, or transfer meetings; performing internet searches relevant to our compliance processes or be busy with travel preparations (booking, visa requirements, check of security requirements, travel expenses accounting,); you may be managing the input in SAP of the productive and absence time of the team, or be occupied with the preparations for customer visits or team events. Perhaps you will use your time for the purchase and inventory of office supplies, hardware or mobiliary, or just enjoy a well-deserved lunch-time with your colleagues.

**YOUR PROFILE**
- Degree in Commercial Education or similar from a reputable college or university
- Proven experience as a team assistant plus initial experience in sales and marketing
- Excellent in English. German is a plus.
- You have excellent organizational and time management skills
- You are also characterized by a quick grasp, flexibility and adaptability as well as the ability to complete tasks independently
- Able to prioritize tasks and to manage workloads in an effective manner with mínimal direct supervision and flexibility in managing multiple and diverse tasks
- Effective problem-solving skills and ability to work under pressure in time critical situations
- Sensitive and responsive to the needs of different religious, ethnic, tribal, and cultural groups.
- Proven integrity and high personal standards of behaviour
- Experience in working in a multinational and multicultural environment, as well as proven interpersonal skills and ability to successfully engage with diverse audiences
- Proficient in MS Office suite (Outlook, Word, Excel, PowerPoint, Notes, Teams etc.)

**YOUR RESPONSIBILITIES**
- Self-reliant and responsible assistance tasks, such as completing orders, payments and tracking invoices. Organization, planning and process the claim reimbursements of (international) trips and IT cost center controlling.
- Independent processing and creation of documents for lectures or business appointments as well as organization and planning of meetings, workshops and events with international participants.
- Organization and quality check of the complete documentation of the weekly pre-LoA meeting including the meeting documentation, distribution and tracking of the action items.
- Responsibility for setting up the PSP elements in SAP for recording quotation costs and controlling the costs incurred, as well as tracking the project time recording tool (CATS).
- Independently conduct internet research regarding the relevant compliant processes.
- Gathering of sales relevant information necessary for the bid process.
- Independent checking and support regarding the completeness of documents for the project handover (transfer meeting)

**ABOUT THE TEAM**

The department for which the Assistant will be responsible consists mainly of two teams for Program Business (PB) for the Middle-East region, which are located in Berlin, Frankfurt, Mülheim and Erlangen.
