Project Coordination Officer

At Uni Systems, we are working towards turning digital visions into reality. We are continuously growing and we are looking for a Project Coordination Officer to join our UniQue team.
What will you be bringing to the team?
- Lead design document reviews, managing the complete cycle internally and externally while ensuring all changes and comments are accurately recorded and implemented according to standard processes
- Ensure adherence to strict deadlines for both internal and external stakeholders
- Conduct high-level document reviews for formatting, style, spelling, and completion of required sections
- Perform quality reviews and edits of documentation and software development artifacts
- Schedule and coordinate meetings, as well as produce and distribute meeting minutes
- Ensure meetings are productive, decisions are reached, and follow up on agreed next steps
- Organize and maintain files, registries, and directories
- Assist with data collection activities
- Maintain records such as the Quality Register, Configuration Item Records, and other logs or registers assigned by the Project Manager
- Support report compilation, task assignment, and meeting minute documentation
- Execute configuration management and quality review procedures and processes
**Requirements**:
What do you need to succeed in this position?
- Bachelor's degree or equivalent (minimum 3 years of relevant education after secondary school)
- Minimum of 2 years of relevant professional experience, including at least 1 year in IT project support
- Experience in working within a project management office utilizing Prince 2 or an equivalent project management methodology
- Strong Communication, Negotiation, and Stakeholder management skills
- Good knowledge of project management standards, techniques, and tools
- Good reporting methods
- Strong understanding of project management and support issues including managing risks, issues, quality, and action logs
- Experience in taking minutes and actions in meetings
- Experience in supporting multiple projects and Project Managers
- Strong knowledge of configuration management systems, with experience serving as a configuration librarian
- Experience in creating templates for common project documentation
- Excellent use of the English language (verbal & written)
- Knowledge of an additional language (French and/or German) would be a plus
