**POSITION TITLE AND CATEGORY**

**Academic Advisor & Visiting Program Advising Coordinator - C1-1**

**SUPERVISOR**:Director of Academic Advising, Careers, and Experiential Learning (or anyone else designated by the provost)
- All of the advisors in the Center for Academic, Internship, and Career Advising have as their _
- primary mission to help students clarify both their life and career objectives, and to work with _
- others who share this mission, namely Faculty Advisors, in order to improve the student _
- experience. In the context of the integration of the diverse elements of the Center for _
- Academic, Internship and Career Advising, the Academic Advisor & Visiting Program Advising _
- Coordinator’s role will likely vary as the center evolves, and will include supporting functions all of the Center’s activities. _

**DUTIES**

**Academic Advising (50%)**:

- Provides general academic advising and registration assistance for all undergraduate students at the university.
- Works to facilitate student academic progress and to enhance the student experience where possible from admissions through graduation.
- Manages a group of assigned advisees: updates student records and follow-up tools, schedules appointments, communicates important dates and information, follows up with students’ projects, issues and needs.
- Co-advises FirstBridge groups and provides training and support for FB faculty advisors; manages a limited group of assigned secondary advisees.
- Shares responsibility for advising transfer students pre-arrival via Skype/Teams.
- Shares responsibility for advising and registering incoming First Year Abroad students.
- Responsible for registering incoming visiting (study abroad) students.
- Shares responsibility for evaluating junior degree checks (JDCs) and advising students and faculty advisors accordingly.
- Participates in academic advising at Orientation and supports the overall

Orientation process.

**Coordination of Visiting Program Advising (40%)**:

- Liaises with AUP Admissions office as point person within ACE Center on visiting and First Year Abroad student programs.
- Liaises with partner institutions, both study abroad and First Year Abroad, to collect and implement processes, policies, and appropriate advising for students.
- Works closely with the University Registrar regarding academic policies and course planning as it implicates visiting and First Year Abroad students.
- Responsible for maintaining an up-to-date database of course articulations with partner institutions.
- Ensures the accuracy of student visiting and First Year Abroad student data across

AUP’s systems.
- Collaborates with Admissions and ITS colleagues to prepare and deliver communications, advising, and registration to incoming visiting and First Year

Abroad students.
- Maintains accurate advising manuals for working with visiting and First Year

Abroad students.
- Creates and maintains up-to-date student-facing academic advising materials for visiting and First Year Abroad students.
- Responsible for communication between the ACE Center and all visiting and First

Year Abroad students throughout their time of enrolment at the university.
- Regularly trains appropriate ACE Center colleagues on how to advise and/or register First Year Abroad and visiting students.
- Supports efforts to assess various aspects of visiting student programs at AUP.

**Other Administrative and Shared Tasks (10%)**:

- Participates in making collective decisions regarding optimization of the office, adding more value to students’ experiences, launching new projects and initiatives.
- Is an integral member of the Global Professional Skills Program Team: leads workshops and advises students towards participation in, and completion of, the

Program.
- Provides coordination and back-up for new student orientation, registration and other academic meetings.
- Provides general academic advising and registration assistance during assigned office hours.
- Participates in assessment of departmental outcomes.
- Contributes to the management of shared advising mailbox.
- Contributes to the revision of general advising handbook/guide/manual.
- Regular review and updating of information (data-entry, document and website updating, etc.).
- Back-up responsibilities during colleagues’ absence or vacation.

**Other appropriate duties as assigned by the supervisor**

**QUALIFICATIONS**
- Bachelor’s degree or equivalent required; Master’s degree preferred.
- Excellent verbal and written communication skills in English required and preferably also in French.
- Minimum 4 years’ professional experience with at least some work experience in a university environment, preferably in a liberal arts institution.
- Highly organized and detail-oriented, with the ability to work quickly and efficiently.
- Extensive knowledge and understanding of the American system of higher education; able to maintain solid knowledge of academic policies,
