Job Description WHAT - Summary & Purpose of the Position Through the understanding of the global real estate and workplace strategy, the Global PMO, Data & Analytics and Admin Coordinator supports the global team across the three pillars – Real Estate, Transformation projects and Workplace operations – with the execution and tracking of projects, consolidation, reporting and processing of data as well as administrative tasks such as purchase order creation, tracking and coordination of team activities. The role supports the development of the playbook of global standards and processes to drive consistency in service delivery across the portfolio, and keeps the CREW intranet up to date with information on governance, ongoing and finalized projects, etc. In addition, the role implements a global reporting framework for the department’s activities and the portfolio, producing regular management reports to key stakeholders and creating portfolio insights to drive proactive decision making. WHAT - Main Responsibilities & Technical Competencies The Global PMO, Data & Analytics and Admin Coordinator provides comprehensive project oversight, data governance and operational support to enable smooth delivery across all real estate and workplace initiatives. Key Accountabilities Support the global team in transformation project tracking, team activities tracking, data & analytics reporting framework and administration of tasks such as purchase orders. Update the global projects plan and consolidate the annual Capital Investment Plan to ensure projects align with the objectives and strategic priorities of Real Estate, Workplace and the wider business. Align projects across the portfolio to Ipsen strategic priorities and global strategies, ensuring all projects deliver value on time and to budget. Prioritise projects across a rolling period. Develop the global projects playbook outlining global standards, processes, control frameworks, and preferred supplier list for consistency across delivery and data maintenance. Engage proactively with stakeholders across functions to discuss project requirements and plans. Act as the main point of contact for major project requests, working closely with Real Estate and Workplace teams to gather requirements from business stakeholders. Develop a project reporting tool to support monitoring of projects and track progress in alignment with the Global Projects Director. Identify external trends and industry‑leading practices that can be incorporated into global project strategies to improve delivery. Ensure sustainability is incorporated into the design and construction of all real‑estate projects to support Ipsen’s ESG Framework. Global Stakeholder Engagement Support the team in developing and maintaining close relationships with senior business stakeholders to understand current and future needs of the organisation. Proactively engage with stakeholders to discuss projects that deliver value and provide tailored recommendations. Work closely with the Global Real Estate and Workplace team to deliver standards and framework aligned with requirements. Provide project management, data and analytics expertise and external market insights to inform decision‑making and deliver value across the business. Global PMO, Data and Analytics Management Accountable for the delivery of all projects, ensuring they are delivered on time, within budget and to agreed requirements. Lead tracking the status of projects within the global projects plan and identify dependencies, risks and opportunities for synergies across regions and projects. Review and feed project requirements into the global projects plan to mitigate risks impacting any in‑flight or planned projects. Collaborate with Workplace Operations and Procurement teams to ensure global standards outlined in the project playbook are included in project contracts. Review project business case to provide input and feedback before socialisation with business stakeholders. Support development of annual Real Estate and Facilities budgets by forecasting global capital and operational expenditure. Ensure global project data is shared, cleansed, stored and analysed to provide a central view of data across the portfolio. Update the global projects playbook, including standards, processes, control frameworks and preferred supplier list, to drive consistency across major projects. Embed Ipsen values in daily work. Global Projects Supplier Management Track supplier performance and delivery of project requirements on behalf of Ipsen. Work with Workplace Operations and Procurement to ensure global standards and best practices outlined in the global major projects playbook are included in individual project contracts. Ensure delivery of project services (e.g., office fit‑out, refurbishment or move) by suppliers on behalf of Ipsen. Gather feedback on supplier performance and delivery. Global Projects, Data and Analytics Policies, Processes and Standards Support development and evolution of the global projects playbook, including standards, processes, control frameworks and preferred supplier lists. Embed global standards and policies across regions and incorporate into tailored recommendations and plans. Oversee engagement with Real Estate, Workplace Operations and Projects Director to gather relevant reports and information (including supplier data) to develop a central view of data across the portfolio. Lead data governance and standards. Ensure data‑related policies, processes and standards are followed. Global Projects and Data Risk Management Ensure projects are delivered safely, aligned to health, safety, environmental standards, internal policies and legislation. Lead resolution of construction, fit‑out and project management risks, supporting the Global Projects Director on strategic decisions and escalating to the VP of Corporate Real Estate & Workplace when required. Accountable for security of data stored within central systems and third‑party systems, ensuring compliance with global GDPR requirements and Ipsen’s data policies. Act as the main point of escalation for critical supplier performance issues and risks relating to projects and data analytics. Global Projects Sustainability Management Ensure Ipsen’s sustainability approach to fit‑out, refurbishment and embodied carbon is integrated into all capital projects and day‑to‑day portfolio management, providing advice on certification (BREEAM, LEED, etc.) and reporting. Support development of project management delivery strategies to reduce CO₂ emissions. Operational Excellence Support the team and the three pillars in CREW with administration such as PO creation and follow‑up, supplier registration, capturing requirements and reporting within the team and to key stakeholders in the group. Embed Compliance Culture across all regions, ensuring integrity is actively applied in all initiatives. Strictly adopt a culture of ethics and compliance; lead by example and appropriately challenge non‑compliance. Ensure adherence to Ipsen policies relating to Ethics and Compliance standards. HOW - Knowledge & Experience Knowledge & Experience (essential) 5 years of experience within the Global Project Management field. Leading projects and rolling out best practice. Project and Programme management experience in relation to real estate and workplace projects. Pharma sector experience (not mandatory). Excellent communications and presentation skills (active and passive). Ability to operate independently and use own initiative. Knowledge & Experience (preferred) Pharma, or other (e.g. consumer) sector experience and knowledge – desirable. Education / Certifications (essential) Graduate or equivalent professional qualification and proven expertise. Education / Certifications (preferred) Nationally recognised Environmental, Health and Safety qualification – desirable. Language(s) (essential) Fluent in written and verbal business French and English.
