Overall Purpose of The Job The Planning Manager will have overall responsibility for all planning activities for assigned vessels, ensuring each vessel is: Manned with qualified, certificated, and medically fit seafarers in accordance with national and international requirements. Appropriately manned to support all aspects of safe on‑board operations. Adequately and competently manned within a prescribed budget and in compliance with ship management/crew management agreements and requirements. Key Responsibilities And Tasks Responsible for the vessels’ rotation planning of all ranks, regardless of nationality, for both Internal and External customers. Retrieve rotation plans from the planning engine using predefined criteria such as cost‑effectivity, quality, and closed pool. Collaborate with Senior Officers to ensure plans are realistic and ready for briefing/de‑briefing. Act as the contact with customers to approve positions and report crew analytics (e.g., RR, leavers). Manage the crewing staff to oversee crew management of all officers, ratings, and trainees. Oversee and monitor seafarer recruitment processes, ensuring full compliance with VMS. Supervise behavioral and operational performance of seafarers, using appraisals, Seafarer Development Checklists, and Personal Training Record Books to identify training needs and coordinate with the Training Manager. Coordinate with Regional Marine Operations Offices (Crew) and Third‑Party Crewing Agencies to supply seafarers. Ensure implementation of emergency procedures. Manage crew planning to maintain the seafarer pool in line with VMS procedures, employment terms, and experience/qualification matrices, advising the Master Planner of any concerns. Monitor vessel manning levels to meet international and Flag State legislation, Union agreements, and owner requirements. Provide support and guidance on crew welfare matters. Assist in preparing crew budgets and ensure adherence to cost controls. Conduct pre‑engagement briefings and de‑briefings of seafarers, reporting significant feedback to the Master Planner. Collaborate with the Master Planner to schedule and contribute to Crew Seminars, and visit vessels with crew concerns. Promote professional relationships with crewing staff, the Fleet team, and individual seafarers. Develop direct reports through performance appraisals and reviews, identifying training and development needs. Lead P+I claims for the fleet. Benefits V. Essential Qualifications Bachelor’s Degree in Maritime, Transportation and Logistics Operations, Business Administration, or related fields. Relevant knowledge of terminal operation, vessel types, and characteristics. Strong analytical, planning, and organizing skills. Excellent knowledge of Microsoft Office applications. Strong customer service mindset and solution‑oriented approach. Excellent communication and interpersonal skills with the ability to build relationships across all levels. Desirable Qualifications At least 5 years of managerial experience in a similar industry.
