Main Purpose of Position
The Procurement Assistant will play a crucial role in ensuring that ICARDA's procurement operations are conducted professionally, efficiently, and in compliance with the organization's procurement strategies, policies, and donor regulations. The successful candidate will be responsible for supporting the Procurement Manager in daily procurement and logistical activities, including identifying purchasing needs, collecting requisitions, preparing RFQs, and maintaining procurement records.

ICARDA is a treaty-based international non-profit research organization supported by CGIAR. Our mission is to reduce poverty, enhance food, water, and nutritional security, as well as environmental health in the face of global challenges, including climate change. We achieve this through innovative science, strategic partnerships, and capacity development that take into account gender equality and the role of youth in transforming the dry areas.
Main Responsibilities
- Support daily procurement and logistical activities in all countries for purchases below $5,000, including identifying purchasing needs, collecting requisitions, preparing RFQs, and maintaining procurement records.
- Support supplier management activities, including conducting market research, identifying potential suppliers, maintaining constructive relationships with suppliers, and collecting feedback on supplier performance.
- Follow up with requisitioners and keep them updated on the statuses of their requisitions.
- Receive, inspect, and distribute merchandise to appropriate requisitioners at the Egypt office.
- Track POs until delivery, acceptance, and payment, ensuring that all requirements are met.
- Prepare periodic reports related to purchasing, shipping, and receiving within the operation.
- Perform any other related activities requested by the Procurement Manager.
Requirements
Education, Qualifications, and Experience
Essential Qualifications and Competencies
- Relevant Bachelor's university degree (preferred) or high school education supplemented by formal training.
- At least 2 years' experience in a related field.
- Sufficient competency to use software packages (Microsoft Word, Excel, PowerPoint), and ability to use ERP systems.
- Excellent command of the English language.
- Effective communication and negotiation skills.
