Main Purpose of Position
The Procurement Assistant will play a crucial role in ensuring that ICARDA's procurement operations are conducted professionally, efficiently, and in compliance with the organization's procurement strategies, policies, and donor regulations. The successful candidate will be responsible for supporting the Procurement Manager in daily procurement and logistical activities, including purchasing, supplier management, and logistics coordination.
About ICARDA
ICARDA is a treaty-based international non-profit research organization supported by CGIAR. Our mission is to reduce poverty, enhance food, water, and nutritional security, as well as environmental health in the face of global challenges, including climate change. We achieve this through innovative science, strategic partnerships, and capacity development that take into account gender equality and the role of youth in transforming the dry areas.
Main Responsibilities
The Procurement Assistant will be responsible for:
- Supporting daily procurement and logistical activities, including purchasing, supplier management, and logistics coordination;
- Identifying purchasing needs and collecting requisitions;
- Preparing and creating RFQs and procurement files;
- Receiving quotations or proposals and drafting bid analysis;
- Maintaining procurement records and documentation;
- Supporting supplier management activities, including market research, supplier registration, and performance evaluations;
- Following up with requisitioners and keeping them updated on the status of their requisitions;
- Receiving, inspecting, and distributing merchandise to appropriate requisitioners;
- Tracking POs until delivery, acceptance, and payment;
- Preparing periodic reports related to purchasing, shipping, and receiving;
- Preparing regular reports on assigned tasks and activities.
Requirements
The successful candidate will have:
- A relevant Bachelor's university degree (preferred) or high school education supplemented by formal training;
- At least 2 years' experience in a related field;
- Sufficient competency to use software packages (Microsoft Word, Excel, PowerPoint), and ability to use ERP systems;
- An excellent command of the English language;
- Effective communication and negotiation skills.
