Job Overview

Microchip Technology, a prominent player in the semiconductor manufacturing sector, is on the lookout for a part-time Senior Administration Office Manager. This role is crucial in ensuring the seamless execution of all office functions. The selected candidate will be tasked with establishing and maintaining administrative frameworks, managing financial resources, and supervising the everyday operations of the office setting.

We provide a fixed-term contract requiring a minimum of three days of work, with the possibility of renewal.

Key Responsibilities:

  • Oversee and direct the administrative functions of the office.
  • Welcome external visitors at the reception area.
  • Coordinate site events, including catering services.
  • Support HR in the recruitment, onboarding, and training processes for administrative personnel, including handling HR documents and financial data.
  • Manage office budgets and expenditures, including supplies, equipment, and services, while maintaining physical inventory.
  • Interface with and manage suppliers for local office requirements.
  • Supervise facility management, covering maintenance, space planning, and ensuring the safety of the physical environment.
  • Engage with the building owner to address all maintenance requests or needs.
  • Prepare and present reports detailing administrative progress and objectives.
  • Lead, mentor, and inspire the administrative team to achieve high performance.
  • Obtain local quotes for employees with company vehicles and collaborate with HR/Finance for approvals.
  • Handle the receipt and preparation of invoices via postal mail.
  • Facilitate the delivery of documents to and from employees.
  • Manage documentation archiving.
  • Provide assistance to the sales team.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related discipline.
  • Exceptional communication and interpersonal skills, with proficiency in English and French.
  • A minimum of ten years of experience in an Administration Manager, Office Manager, or similar capacity.
  • Strong leadership and organizational capabilities.
  • Proficiency in office management software, including MS Office and administrative systems.
  • Understanding of financial and facilities management principles.
  • An analytical mindset with effective problem-solving abilities.
  • Attention to detail and a high degree of discretion and confidentiality.

Preferred Skills:

  • Previous experience in the microelectronics sector is advantageous.
  • Professional certification in administrative management.
  • Experience in strategic planning and execution.
  • Familiarity with data analysis and performance metrics.
  • Bilingual proficiency in English and French.
  • Demonstrated adaptability and versatility.

Contract Duration:

The contract duration is for three days of work, with the possibility of renewal.

Work Environment:

This position requires in-person attendance; teleworking is not an option.

Working Hours and Compensation:

The role entails limited hours, totaling 14 hours and 50 minutes per week.

Physical Requirements:

The candidate must be able to stand, bend, squat, and lift up to 25 pounds.
