Position Overview:

The Administrative Executive for Hotel Operations plays a crucial role in providing administrative assistance to the General Manager while overseeing the operational management of hotel services. This position is responsible for ensuring adherence to hotel policies and procedures while delivering exceptional service to guests. The Administrative Executive will maintain high levels of guest satisfaction, manage VIP services, collaborate with various departments, and contribute to the financial and operational success of the hotel.

Key Responsibilities:

Administrative Support:

  • Deliver comprehensive administrative support to the General Manager, ensuring compliance with hotel policies and procedures.
  • Draft and manage guest correspondence, including invite back letters and reservations for VIP guests.
  • Monitor and follow up on reservations to guarantee VIP treatment, including personalized amenities.
  • Assist in responding to guest satisfaction surveys and managing feedback.
  • Collaborate with the Loyalty team and Front Office to acknowledge high-level guests appropriately.
  • Support the Sales Coordinator in managing donation requests.
  • Handle Executive Office communications and scheduling.
  • Facilitate internal communications and mail distribution.
  • Assist the Concierge and Loyalty teams with special guest requests.
  • Order and manage VIP amenities and office supplies.
  • Organize holiday decorations and manage public area activations.
  • Ensure confidentiality of all Executive Office communications.
  • Manage the schedules of the General Manager and Director of Operations.
  • Adhere to departmental policies and health and safety standards.
  • Perform additional duties as required.

Operational Management:

  • Supervise daily operations of assigned outlets, ensuring compliance with service standards.
  • Develop and implement promotional programs to enhance revenue.
  • Collaborate with the Culinary team to deliver Food & Beverage promotions and menus.
  • Conduct regular departmental meetings and daily briefings.
  • Ensure financial and operational targets are met.
  • Oversee inventory management for all outlets.
  • Manage the annual budget responsibly.
  • Monitor revenue, labor, and operating expenses.
  • Continuously seek improvements in service standards and profitability.
  • Create weekly staffing schedules aligned with business needs.
  • Conduct performance reviews and coaching for team members.
  • Drive engagement surveys and develop action plans.
  • Facilitate training and conduct audits for staff compliance.
  • Ensure adherence to LQA training and standards.
  • Utilize hotel management software for operational reporting.
  • Attend all relevant meetings as part of the leadership team.
  • Uphold ethical standards and union agreements.
  • Assist in resolving guest issues and support outlet managers.
  • Balance operational, administrative, and team needs.
  • Perform other duties as assigned.
