Senior Administrative Coordinator

At the International Potato Center (CIP), we are seeking a highly skilled and experienced Administrative Assistant II to support our team in West Bengal, India.
About the Role
This position will be based in West Bengal and will work closely with interdisciplinary teams at CIP's regional office in New Delhi and headquarters in Lima, Peru. The successful candidate will report to the Project Manager of West Bengal Project.
Key Responsibilities:
- Provide logistical and technical support to projects in administrative matters, ensuring seamless implementation and accurate documentation.
- Assemble and draft high-quality documents, reports, and presentations, requiring integration of information from multiple sources and application of advanced office technology and software.
- Coordinate and update events calendars, supporting organization of project meetings and events.
- Manage supply chain and resource requirements, maintaining an adequate level of office supplies and equipment.
- Offer administrative support in formulating project budgets, operational plans, and related policies and procedures.
- Coordinate national and international trips, ensuring all arrangements (travel and lodging) and travel matters are accurately managed.
- Keep updated and organized administrative papers, such as project publications and trip reports, to maintain databases.
- Support project activities, including data collection, payments to participants, survey organization, and field worker coordination.
- Comply with national and international health and safety laws, regulations, and standards.
Requirements
- Bachelor's degree in secretarial administration or commerce-related areas.
- At least 3 years of experience required in similar positions in Administration or General Services departments.
- Excellent skills in handling office technology and software applications.
- Outstanding writing and reporting skills.
- Experience in data collection management, survey design, and other related fields is an added advantage.
- Ability to organize project activities and processes.
The estimated annual salary for this position is ₹450,000 - ₹550,000, depending on qualifications and experience. We offer a competitive benefits package, including medical insurance, retirement plan, and opportunities for professional growth and development.
