The Chartering and Associated Services (CAS) division is seeking a Senior Chartering Administrator F/M to oversee the management of Time Charter Agreements for various projects.

Key responsibilities include:

  • Compiling a tailored list of bidders for maritime transportation and ensuring thorough vetting of vessel owners (including compliance checks and financial risk assessments in collaboration with Finance and Compliance teams).
  • Drafting bid invitation packages for maritime transport, coordinating with the Chartering Manager and technical teams while adhering to departmental protocols.
  • Managing the tendering process via the company's EPC Business platform, addressing technical and commercial inquiries from bidders and relaying responses to the appropriate internal teams.
  • Translating the main contract's terms and conditions into Charter Agreements in partnership with the Chartering Manager and Contracts team.
  • Negotiating commercial terms to secure optimal pricing.
  • Creating the Commercial Bid Tabulation (CBT) and collaborating with the technical team to ensure timely issuance of the Technical Bid Tabulation (TBT).
  • Participating in final negotiations prior to Charter Agreement awards, documenting discussions and ensuring agreements are accurately reflected in the Charter Agreements.
  • Monitoring Charter Agreements post-award, ensuring all necessary documentation is complete (such as performance bonds and Parent Company Guarantees).
  • Generating Monthly Financial Status Reports, reviewing invoices, and verifying supporting documentation while liaising with the operations team to safeguard project interests.
  • Coordinating with the Accounts Department to register invoices in the financial system.
  • Documenting meeting minutes during discussions with Subcontractors and Clients.
  • Drafting correspondence to Subcontractors and Clients, subject to the Chartering Manager's approval.
  • Preparing and issuing amendments to Charter Agreements and finalizing closeout amendments.
  • Identifying and raising any concerns related to contractual or commercial aspects of the Charter Agreements.
  • Providing regular updates to the Chartering Manager.
  • Assisting the Chartering Manager in cost estimation for the Estimation Department during the tendering phase for Clients.
  • Adhering to the group’s HSE policy and QA/QC standards.

Profile:

  • A minimum of 7 years of experience in subcontracting, logistics, and chartering.
  • Familiarity with BIMCO Time Charter agreements.
  • Exceptional negotiation skills.
  • Strong oral and written communication abilities in English.
  • A proactive attitude, capable of learning from experiences and adapting to challenges.
