The Chartering and Associated Services (CAS) division is seeking a Senior Chartering Administrator F/M to oversee the management of Time Charter Agreements within various projects.

Key Responsibilities:

  • Develop a tailored bidders' list for maritime transport and ensure thorough vetting of vessel owners, including compliance checks and financial risk assessments in collaboration with Finance and Compliance teams.
  • Compile bid solicitation packages for maritime transport, including instructions for bidders and necessary documentation, in coordination with the Chartering Manager and technical teams, adhering to departmental protocols.
  • Facilitate the tendering process utilizing the company's EPC Business platform, ensuring effective communication of technical and commercial inquiries from bidders to the appropriate internal stakeholders.
  • Implement the flow-down of contract terms from the primary agreement to Charter Parties, working closely with the Chartering Manager and Contracts team.
  • Negotiate favorable commercial terms to secure competitive pricing.
  • Prepare the Commercial Bid Tabulation (CBT) and collaborate with the technical team to ensure timely issuance of the Technical Bid Tabulation (TBT).
  • Participate in final negotiations prior to Charter Party awards, documenting agreements and ensuring accurate reflection in Charter Parties for signature.
  • Monitor Charter Parties post-award, ensuring all necessary documentation is completed, including performance bonds and Parent Company Guarantees.
  • Generate Monthly Financial Status Reports, review invoices, and verify supporting documentation, liaising with the operations team to safeguard project interests and ensure equitable returns.
  • Coordinate invoice registration with the Accounts Department.
  • Document meeting minutes during discussions with Subcontractors and Clients.
  • Draft correspondence to Subcontractors and Clients, subject to Chartering Manager's approval.
  • Prepare and issue amendments to Charter Parties and closeout documents.
  • Identify and report any concerns related to contractual or commercial aspects of Charter Parties.
  • Provide regular updates to the Chartering Manager.
  • Assist the Chartering Manager in estimating costs for the Estimation Department during the tendering phase for Clients.
  • Adhere to the group’s HSE policy and Quality Assurance/Quality Control standards.

Qualifications:

  • A minimum of 7 years of experience in subcontracting, logistics, and chartering.
  • Familiarity with BIMCO Time Charter Party standards.
  • Exceptional negotiation abilities.
  • Strong oral and written communication skills in English.
  • A proactive and adaptable approach to learning and overcoming challenges.
