Position Title: HR Services Coordinator
Team Structure: This position is part of our EMEA (HR) People Services division, located in a collaborative environment with a team of 9 professionals delivering People Services assistance across 23 EMEA nations. The current team members are situated in various countries including the UK, Poland, Romania, South Africa, Germany, and Spain. This role will report to the EMEA Regional Lead for People Services, based in the UK.
Role Significance: The HR Services Coordinator is responsible for providing initial support to our employees, offering informed guidance and assistance while ensuring precise administration throughout the employee lifecycle. The selected candidate will also extend support to the Regional People Partners. We are actively enhancing the employee experience as we refine our People Processes and Systems.
Key Responsibilities:
- Addressing all inquiries from France, Belgium, and Switzerland submitted through Service Now (our internal HR case management system) by employees, adhering to established Service Level Agreements.
- Authorizing data requests in Workday (HR system) as necessary, including matters related to absence, job transitions, global mobility, etc., and completing requisite documentation in collaboration with the employee and Regional People Partner.
- Executing comprehensive lifecycle processes for employees in conjunction with internal stakeholders and the People Services team (onboarding, contracts and amendments; probation renewals, offboarding, etc.).
- Assisting in the monitoring and fulfillment of HR compliance obligations: local policies, BDESE, training plans, gender reports, health & safety regulations, and career discussions in France.
- Developing knowledge and understanding of HR policies, practices, and procedures, including employee benefits, and aiding in the maintenance of Quick Reference Guides (QRG's) in our internal library.
- Coordinating with our Benefits and Payroll teams to ensure accurate data representation for benefits and payroll administration.
- Maintaining electronic and physical employee files.
- Assisting with special projects as needed.
Candidate Profile:
- Proficient HR Administrator with a minimum of 2 years' experience, preferably within an HR/People Services setting in a global organization.
- Fundamental understanding of French employment law and Works Council regulations.
- Basic knowledge of CBA is advantageous.
- Familiarity with Service Centre processes is beneficial.
- Experience with Workday and/or Service Now is preferred but not mandatory.
- Exceptional organizational and administrative abilities.
- Proficient in both English and French (written and spoken).
- Strong skills in Excel and Word.
- Organized and solution-focused mindset, dedicated to resolving issues and addressing customer needs promptly.
- Required to work from the office at least 2 days a week.
