As a Senior Executive Assistant, you will play a pivotal role in overseeing the schedules, coordinating various inputs and outputs, and managing the demands of both internal and external stakeholders, in alignment with dynamic business needs and regular meeting cycles. This position is a highly esteemed function within the organization, offering opportunities for professional growth and international exposure. You will collaborate with numerous internal and external partners across different regions.

Key Responsibilities:

  • Management of executive schedules
  • Arranging travel and logistics for various locations, both domestically and internationally
  • Organizing meetings, including logistics for video and telephone conferences, room bookings, and catering arrangements
  • Handling expense reports
  • Welcoming and registering guests for the executives
  • Serving as the primary contact for executive stakeholders
  • Providing daily administrative assistance
  • Supporting assigned teams in organizing meetings and events, which may include occasional travel for events (approximately 2-3 times a year)

Required Qualifications:

  • Ability to thrive in a fast-paced, ever-evolving international environment
  • Over 5 years of experience as an Executive Assistant in large multinational corporations
  • A self-motivated individual with a strong sense of confidentiality, possessing both personality and experience
  • Exceptional written and verbal communication skills
  • Understanding of executive and top management dynamics
  • Proficiency in multitasking and prioritization
  • Strong planning and time management abilities
  • Fluent in English and French, suitable for negotiation
