We are currently seeking a **Proposal Assistant **to join our Proposals Department based in Paris.
**About the Job**
The proposed position as Proposal Assistant will be participating to a wide variety of proposals, in all the segments where our company invests (conventional oil & gas, decarbonized energy, non-carbon energy). The spectrum of activities starts from decision to follow the Bid, up to the Bid submission, clarifications, contract signature and hand-over to Project execution team.
**Job description**
Your main responsibilities will be to (but not limited to):
**Primary Activities**
- For Proposal Launching and access authorizations:
- Monitors creation, allocation and manages required access authorizations, together with IT Department, of a dedicated folder for the Proposal on a shared drive Server.
- Files and monitors for easier reference a single paper copy of the ITT if needed
- Uses / coordinates set up of specific shared information
- Sets up the Proposal Write Up
- Ensures, according to Proposal Manager instructions, the electronic filing of mail, letters and correspondence, offers received etc. in a pre-established systematic filing plan as defined per Proposal Preparation procedure.
- For relations with Clients: manages communication register with numbering, and filing of correspondence with Client, Partner (may be through dedicated communication platform), including: bid clarification requests and answers, bid addenda, Tender Bulletins
- For relations with Partners and/or other Operational Centers:
- Dispatches all the information received from Client
- Manages NDA and JV/Consortium agreements signature circuit / vault depositing
- Supports proposal preparation Team and Manager for any assistance in bid preparation and build up, including:
- Write up arrangement and formatting
- CVs collecting and formatting,
- Write up compilation,
- Powerpoint presentations formatting including organization charts,
- Formatting of any key document such as Proposal Gateway Meeting supporting presentation,
- Supports proposal preparation Team and Manager for bid finalization (submission phase), including:
- Supports Proposal Manager for issue of Transmittal (follow up) sheet at time of having any document or Proposal or Contract signed by the Technip Energies Authorized representative.
- Proposal master preparation (electronic and paper)
- Transmittal Letter preparation to record Client acknowledgement of receipt,
- Ensures the archiving of the Technical and Commercial Proposals
- Supports Proposal Manager and ensures proper filing of all key documentation related to Proposal Validation
- Supports proposal preparation Team and Manager for Visitors, including:
- Meetings organization (room booking, visio-audio conference facilities set up)
- Visitors reception and welcoming,
- Support to residents (badges creation, request and follow up for office supplies, wi-fi access, lunch cards )
- Support to proposal Manager and Client for organization of interviews or clarification meetings with Client
**About You**
We’d love to hear from you if your profile meets the following essential requirements:
- _Bachelor + 2 Years degree; _
- _5 Years Experience in Project or Proposal secretarial activities. _
- Proficiency in English
- Proficiency in office desktop automation tools
- Availability at time of proposal preparation finalization
- A minimum of 5-7 years industry experience with good understanding of the Engineering chain (Process background is a plus) is requested. Longer experience is not a shoe stopper as the level of responsibilities will be adjusted accordingly
- Follow through on commitments and meets deadlines
- Have a good management of stress and time, as multiple tender opportunities can arise simultaneously with very tight deadlines
- Show adaptability skills, since the position will interface with many different stakeholders within the organization
- Demonstrate autonomy in day-to-day work organization,
- Demonstrate resilience, as despite the level of efforts that is put in the tendering, all proposals do not end up in a success
