Nature and aim of the position

Reporting directly to the HRD, you are in charge of payroll, personnel administration and HR topics for all employees of our sales office in France (approximately 75 employees) distributed around two legal entities.

You will especially drive the operational activities related to an important payroll transformation project.

You work with our internal interlocutors (managers, employees, country manager) and external interlocutors (payroll provider, company doctor, training providers...) and you are in charge of a various range of activities.

Main duties and responsibilities

Payroll:
_you manage the payroll in France in connection with our payroll provider under the supervision of the HRD_
- you set up the payroll agenda with the provider
- you collect the variable payroll items
- you send the payroll instructions to the payroll provider on time
- you analyse and validate the payroll
- you control the pay slips
- you control the payments (wages, prepayments, social contributions, payroll deductions)
- you monitore the social charges calculation
- you put in place the relevant dashboards to monitore the payroll activity
- you ensure the personal datas reliability in our different systems (silae, workday, horoquartz )
- you ensure the interface with our accounting department based in Austria

Personnel administration:
_you are our administrative referent and guarantor of internal payroll and_
- administrative_
- procedures under the supervision of the HRD_
- you create and keep up-to-date the staff records
- you draft the work contracts and other work documents
- you do the follow-up to keep in time the trial period forms
- you deliver the right actions to affiliate news joiners with the health coverage provider and to put in place the “portability” system for the leavers
- you plan the work medical visits and ensure their follow-up with the company doctor
- you ensure the proper updating and storing of the personnel files
- you make sure to update the personnel register each month
- you manage the lunch vouchers according with the staff attendance
- you provide information and inform employees about all topics dealing with payroll, leave, social security, employers certificates...
- you take into account changes in personal and professional situation of our staff
- you establish mandatory social declarations in connection with our payroll provider
- you ensure relations with social organizations: Mutual, URSAAF, CPAM, pension funds...
- you set up accurate dashboards dealing with of your administrative activity
- you are in touch with our temporary agencies to cover our contingent staff needs

Time Management:
_you manage the time management tool under the supervision of the HRD_
- you are in charge of the time management with HOROQUARTZ tool
- you do all relevant changes in HOROQUARTZ : entry/exit/affectation change to maintain the system up-to-date
- you manage the “clock in” / “clock out” anomalies
- you edit monthly time reports and analyse overtime with the management
- you draw accurate dashboards to drive the workload for our executive staff (days of work)
- you manage the different types of leave : paid holidays, RTT, sick leave, maternity/paternity leave, accidents at work...

HR Projects:
_you contribute proactively to define and implement HR projects under the supervision of the HRD_

You will also take part in the new legal reglementation as well as the HR projects (recruitment campaign, training, optimization of processes and tools, central payroll project, employer branding...)

Reporting and collaboration

The holder of the position reports solid-line to HR Director Southern Europe.

The holder of the position collaborates with internal contributors (managers, employees, country manager) and with external interlocutors (payroll provider, company doctor, training providers...)

The holder of the position works with HR corporate.

Preferable skills and competencies

You easily handle the Office pack, including Excel.

Ideally you have already worked with Workday and/or Horoquartz.

You are fluent in English, both in writing and in speaking (group language).

Education and qualifications

You are a graduate BAC + 3 (Bachelor's degree).
