Interserve are currently recruiting a Works Coordinator to manage, plan and follow all works orders within all Missions for Offices, Official Residences and Staff Residential Properties as well as making sure that targets is met in order to meet all obligations to the client as outlined in the site specific schedule of works and ensure delivery is in line with contractual obligations.
The FM Works Coordinator is a key role within the day-to-day work requests in making sure that all works are planned on time and the KPI meet target.
**Responsibilities**
- The FM Works Coordinator will coordinate and implement the requirements to ensure all aspects of safety is at, or better, than the requirements of current legislation and the Best Practice Guides such as ensuring contractors completed and signed Contractor Induction for example.
- Follow up and managing of all Reactive Work Orders and New Works such as ESTREQ, INPRGRS, APPR, etc and ensure that the log is updated on Maximo as well as if extension is needed.
Organise Works order (reactive, New Works, etc) with contractors, Technicians and if needed request Call Out through the team.
- To Ensure that the start/finish date is updated on Maximo as well as the lead. if it is a Landlord responsibility, to send the works orders to the UKDEL Receptionists so they can follow up with the Landlord as well as keeping the client informed. If no action is taken from the Receptionists will send to the Landlord to send a registered letter. To send a spreadsheet with Landlord’s related to the Receptionist. The Receptionist to send the sheets updated and you will need to complete any works orders done by the Landlord.
- Request Estimate from Contractor on Works orders on Status EST REQ that concerns Maintenance and raise a quote on Maximo, request Maximo PO and organise the works with contractors and complete works order and put on FINREV.
- Send Communication to building users in the event of break down in the Office at Faubourg St Honore.
- Request feedback from Client when job is completed and make sure that they fill in the Monkey Survey.
- Provide the cost trackers for reactive works and send on a monthly basis to the dedicated person. Provide admin Support the Technical Supervisor.
- Support on organising PPMs in case on leave or sick leave.
- Provide dates prior as a back up to the Monthly Report such as meter reading on Offices & Official.
- Residences as well as any failed/mitigated works orders and send to the dedicated person.
- Development of positive working relationships with contractors and supply chain.
- Admin support to Deputy FM as well as the FM Manager
Health, Safety, Environmental and Quality.
- Ensure strict adherence to all processes and procedures; not limited to but including; Company Documentation, Work Instructions, ISO Processes, Coshh Assessments, Risk Assessments and Method Statements.
- Ensuring Risk Assessments for contractors/method statement and Technical Team are in place before start up. If it involves products, to make sure that a safety data sheet has been provided, this also includes Site Safety Inspection Forms.
- Ensuring Risk Assessments for non daily porterage tasks for Technical Team are in place before start up.
- Ensure that Changing Attitude Towards Safety (CATS)is complied with and target reporting is achieved as well as entering CATS Report on Itus.
- Creates a safety culture that looks for continuous improvement.
- Completes all business reporting in a timely manner.
- Be aware of the business continuity plan for the part of the business you work in
**What we are looking for**
- Fluent in French and English as well as written and speaking.
- Good knowledge of Dutch speaking, writing would be an advantage.
- Attention to detail and strives for operational excellence.
- Understanding of information management system/databases and familiar with MS Office packages
- Capable of working under pressure with minimum supervision.
- Understanding of help desk/call centre processes and work flow
- Previous experience working for public service sector.
- Previous experience in a FM service would be an advantage.
- Holder of a full and valid driving licence.
- Applicants must be legally entitled to work in France.
