**Job Description**:
Based in Paris office, the Office coordinator role will report to the Regional Facilities Manager EMEA (based in Cologne), with a dotted line to the Commercial and General Manager (France, based in Paris). The person in this role will be responsible for maintaining the highest standards in the Paris office for local team and visitors.
**Office Management**
- Day to day office management of Paris office. Ensuring smooth operations of the office including but not limited to managing vendors and supplies, including landlord, maintenance, H&S, business continuity etc.
- Under the direction of the Regional Facilities Manager EMEA and the Commercial and General Manager ensure maximum utilization of the office space by creating functional and welcoming workplace.
- Organize staff entertainment events (e.g. office lunch) to increase team’s social engagement in line with global initiatives (social events calendar)
**Facilities Management**
- Provide support of facility renovation/improvement/relocation projects if required.
- Review expenditure against budget, analyse and report upon material budget variances. Identify and take action to redress material budget variances.
- Provide reporting and information for budget planning for facilities-related costs. Responsible for receiving and managing all the incoming invoices using internal finance/invoice management systems.
- Analyse and propose improvements to existing processes including but not limited to booking couriers, security, H&S.
- Ensure full compliance with French legislation for matters related to compliance with office health & safety
**IT Support**
- Under the direction of IT Manager (based in London) maintain asset register for IT equipment, keep track of all changes
- Support handling of IT equipment for new hires and leavers (laptops, small IT peripherals)
**Financial**
- Using company systems (Netsuite) ensure timely delivery of invoices, purchase orders, supplier compliance reconciliation, responsible for maintaining weekly payments for panellists via Edenred.
- Process and track expense reports for office purchasing card and Commercial and General Manager’s card
**HR support**
- Under the direction of the HR team maintain database of staff’s obligatory medical check-ups
