In this role you will work to primarily build, maintain, and audit van and equipment (unity) schedules (and occasionally Field Staff schedules) for efficiencies and optimal guest experience. You'll be communicating frequently and efficiently with our teams all over the world, acting as a liaison and main point of contact for Global Operations Teams, Leader Development Managers, and our trip leaders and field staff in regard to all scheduling needs and logistics support. Our team strives to find the sweet spot in balancing business needs, and both guest and leader satisfaction, while moving equipment around as efficiently as possible.
This role is for you if you are very detail oriented, have a professional and service-driven approach to communication, and are able to function in both independently and as part of a team.
MAJOR DUTIES AND RESPONSIBILITIES:
Ops Scheduling- Team with Ops Coordinator in Salt Lake City, UT to ensure globally aligned procedures.- Meet with Ops Management to proactively align field staff scheduling timelines with Ops needs and timelines.- Enter, Schedule and Track: unit loads, drives, unloads, end of season maintenance, and special needs.- Unit consolidation - track unit moves and ensure newly moved units are lining up to their new schedule, accounting for newly added trips and private trips- Own all scheduling-related communication with Ops.
Field Staff Scheduling- Own Trip Prep Specialist (TPS) Scheduling process - Assign TPS to preps and drives and occasionally assign leaders to trips following the guidelines and parameters that are in place to guide your decision-making. You’ll consider things like carryover, language skills, depth of experience and preferences. Throughout this schedule building process, you’ll collaborate frequently with other schedulers.- Partner and meet with assigned Operations Coordinators and Operations Managers to ensure proper scheduling.- Schedule Field Staff on drives, FAMs, travel days, trainings, etc.- Work with Scheduling team to review and audit the schedule before publishing each month.-
- Update schedules to account for enrollment changes, trip cancellations/additions, unit changes or changes in leader availability. We have audits in place that you’ll use to monitor these changes.- Problem-solve to cover dropped schedules. Like the monthly schedule build, this part of the job has defined parameters to help you find the right solution. Due to the nature of dropped schedules, this process usually happens much faster than the monthly schedule build and we frequently must get creative.-
- Participate in the Leader Development On-Call calendar.
REQUIRED KNOWLEDGE AND ABILITIES:
- Proven problem-solving, analytical and time management skills.- Meticulous attention to detail.- Ability to work in an autonomous but supportive environment and make decisions using your keen sense of judgment.- Excellent written and verbal communication skills in English.- Multi-lingual skills preferred though not required.- Ability to be discreet and professional with employee performance information.- Experience with Microsoft Office Suite, particularly Excel and Word, as well as a demonstrated ability to learn new systems (proprietary databases)- Must be able to self-direct, work independently and work effectively as part of a team.
