**About the Department of Foreign Affairs and Trade**
The role of DFAT is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
**About the position**
Under the supervision of the Property and Corporate Services Manager, the Property Officer is required to ensure property services delivery (Chancery and Residential area) to DFAT and agencies staff (in accordance with the SLA). The occupant will work as a member of the General Services Division providing support to other colleagues and providing input to develop and implement new tools, operational or other improvements, as appropriate.
**The key responsibilities of the position include, but are not limited to**:
- Office/Chancery Management
- Liaise with OPO, DTZ and IEA on Property matters.
- Coordinate office installations and relocations
- Ensure the smooth day to day running of property equipment and related personnel
- Manage the annual property and assets repairs and maintenance program, including coordination of purchases and procurement processes and quality assurance
- Manage the cleaning services contract and supervise cleaning contractors
- Provide Property support for Ministerial and other high-level visits
- Coordinate bookings of embassy facilities (including theatrette and exhibition area), coordinate set up and clean up arrangements,
- Supervise property contractors
- Maintain assets and inventory registers and databases and undertake stocktakes
- Conduct work, health and safety (WHS) risk assessments, contribute to the WHS Committee and undertake the annual DFAT WHS assessment
- Coordinate the management of tenancies in the owned estate including bookings, check-in / Checkout procedures
- Ensure new arrivals (A-based staff and families) and new starters (A-based and LE staff) are trained in the safe operation of property equipment and are aware of processes and procedures to report faults
- Assist with Accounts processing as required (including SAP entry, travel acquittals etc)
- Assist other members of the team as required
**General Requirements**
- Demonstrated experience in a property related role, and knowledge of French Property Law (Desirable)
- Demonstrated strong client service skills. (Including capacity to maintain strong relationship with key stakeholders)
- Strong interpersonal skills and a proven ability to work both autonomously and collaboratively within a team.
- Ability to interpret policy regulations and guidelines and to act on and provide property related advice in accordance with the appropriate instructions, anticipate problems and suggest solutions
- Knowledge and experience in managing all aspects of a property portfolios, including supervision of gardening and cleaning staffs
- Ability to set priorities and take appropriate action
- Very High level of written and spoken English and French are essential.
